We are seeking a highly organized and detail-oriented Billing Coordinator to join our team in Westlake, OH. Our ideal candidate will manage the day-to-day billing operations and will serve as the primary point of contact for internal billing inquiries and client payment resolutions.
Hours:
Monday - Friday from 9:00 am to 5:00 pm
Job Responsibilities Overview Invoice Generation:
Prepare, review, and distribute invoices to customers
Collections & Follow-Up:
Monitor aging reports and proactively follow up with overdue invoices
Record Maintenance:
Scan and file invoices promptly to ensure financial data is accurate and easily accessible
Transaction Processing:
Issue and deposit checks, schedule ACH payments/wire transfers
Client Relations:
Respond to inbound customer billing inquiries in a professional manner and resolve client billing discrepancies. Handle issuing customer refunds and store credits
Account Reconciliation:
Process and categorize accounts receivable transactions using accounting software (QuickBooks Online)
Sales Tax Compliance:
Review customer resale certificates for accuracy and update their accounts as needed. In addition, prepare and file accurate state and local sales and use tax returns across multiple jurisdictions on a monthly and quarterly basis Necessary Skill Set Proven administrative office experience Strong computer skills with Microsoft Office and QuickBooks Online Comfortable with mathematics and financial data Attention to detail Ability to adapt to changing environments and new technologies that could be implemented Time management skills with the ability to multitask and prioritize work Professional demeanor and confidentiality Strong and effective communication skills Benefits Paid time off including: Vacation, sick, and holiday pay Weekends off: We work Monday - Friday, 9 am to 5 pm 401k Medical, Vision and Dental insurance
