Job Summary We are looking for a dependable, hands-on Bookkeeper / Executive Assistant to join our team. Bookkeeping will be the main responsibility, including keeping accurate records, handling transactions, and staying on top of day-to-day finances. We need someone who can wear a lot of hats and isn't afraid to jump in wherever needed. You'll also help with general office work, paperwork, scheduling, organization, and other day-to-day tasks. Responsibilities Manage day-to-day bookkeeping tasks using accounting software using QuickBooks Desktop Online, Perform accounts payable and receivable functions, including invoice processing, payment scheduling, and collections. Reconcile bank statements, credit card statements, and general ledger accounts regularly to ensure consistency and accuracy. Prepare financial reports, including balance sheets, income statements, and cash flow statements in accordance with GAAP (Generally Accepted Accounting Principles). Record journal entries accurately, including debits & credits, double-entry bookkeeping, and account analysis. Assist with payroll processing by verifying hours worked, calculating wages, and ensuring timely payments. Support budgeting activities by monitoring expenses against budgets and preparing relevant documentation. Maintain organized records of all financial transactions while adhering to accounting standards and company policies. Provide administrative support such as managing calendars, scheduling meetings, preparing correspondence, and handling confidential information discreetly. Assist with general office tasks to ensure efficient daily operations for the executive team. Experience Proven bookkeeping experience with a strong understanding of QuickBooks Desktop Demonstrated knowledge of corporate accounting principles as well as non-profit accounting practices if applicable. Familiarity with public accounting processes is a plus. Experience in payroll processing, accounts payable/receivable management, bank reconciliations, and general ledger accounting. Strong proficiency in spreadsheets and financial report writing tools. Knowledge of GAAP standards and double-entry bookkeeping methods. Ability to perform account reconciliation and account analysis efficiently while maintaining high accuracy levels. Prior experience supporting executive teams through calendar management and administrative duties is preferred but not required. $32.00 - $35.00 per hour Expected hours: 40.0 per week
