Executive Assistant

Job Description

Job Purpose The Executive Assistant provides high-level administrative, organizational, and operational support to a high-demand entrepreneur. This role is responsible for managing priorities, improving efficiency, and ensuring day-to-day operations run smoothly in a fast-paced environment. The ideal candidate is highly organized, detail-oriented, tech-savvy, and proactive. Duties and Responsibilities Manage calendar scheduling, meetings, and time-sensitive communications Organize and maintain digital files, systems, and workflows Act as a primary point of contact and gatekeeper for the executive Track tasks, deadlines, and follow-ups to ensure completion Assist with operational projects and administrative initiatives Support basic financial tracking, expense reporting, and documentation Utilize AI tools to streamline workflows, research, and administrative tasks Assist with social media coordination and digital organization Prepare reports, spreadsheets, and presentations using Excel / Google Sheets Coordinate with vendors, partners, and internal stakeholders Handle confidential information with discretion Perform ad hoc duties as needed in a dynamic work environment Qualifications Exceptional organizational skills with strong attention to detail Proficiency in Excel and Google Workspace Comfortable using AI tools and modern technology platforms Strong written and verbal communication skills Ability to manage multiple priorities and meet deadlines Self-motivated, dependable, and adaptable Experience supporting an executive or entrepreneur preferred Work Environment This position will work in an indoor manufacturing facility with controlled temperatures; may be exposed to bright lighting, loud equipment, airborne particles, and moving mechanical parts. Fast-paced, high-demand entrepreneurial environment May be remote, hybrid, or in-office depending on business needs Requires flexibility in hours and responsiveness to changing priorities Frequent use of computers, mobile devices, and digital tools Job Requirements Work revolves around objectives, projects, and priorities, not hours; must be able to work weekends, holidays, and extended shifts as needed. Must be 21 years of age or older Ability to use a computer and calculator for 8 hours or more. Must comply with all legal or company regulations for working in the industry. Selected candidate will be required to complete a post offer, pre-employment background check with the local law enforcement or City Police Department.
