ENGAGEMENT DESCRIPTION
The File Digitization Clerk provides short-term, clerical support to the Human Resources team by converting paper employee files into electronic records. This role focuses on scanning, organizing, and uploading documents while following established procedures for accuracy, confidentiality, and data privacy. The Legal Administrative / Records Support Specialist provides administrative, records, and legal support by managing document requests, maintaining electronic and physical records, researching corporate systems, and assisting with legal and operational matters. This role requires strong attention to detail, confidentiality, organization, and the ability to interpret and process sensitive legal and employee documentation accurately and efficiently. The position would be performing document handling, including verifying, indexing, and uploading records within electronic systems which aligns directly with file digitization and document management responsibilities. Key Responsibilities Research and analyze third-party record requests to determine the validity and scope of inquiries and prepare initial responses under management guidance. Review, organize, redact, and produce records in accordance with applicable privacy laws, regulations, and company procedures. Research corporate systems, Workday, shared drives, and document repositories to locate information and documents responsive to requests. Scan paper employee files and convert them into electronic records. Label, organize, and upload digital files using established naming conventions and filing procedures. Attach documents to employee records in Workday as directed. Perform quality checks to ensure scanned and electronic documents are clear, complete, accurate, and properly organized. Maintain case files, databases, charts, tables, and tracking records related to legal and operational matters. Ensure accurate and timely retrieval of documents and data and completion of assigned case-related activities. Communicate with third-party requestors and internal personnel to facilitate timely responses and resolve documentation issues. Identify and escalate missing, unclear, incomplete, or potentially responsive documents to the appropriate supervisor. Assist with filing, data entry, document sorting, and other general administrative and clerical activities. Support additional legal, records-management, and administrative matters as assigned. Maintain strict confidentiality and exercise discretion when handling sensitive employee, legal, and corporate information. Required Qualifications High school diploma or equivalent required. At least 5 years of administrative support experience; experience in the insurance or legal industry is preferred. Strong understanding of legal processes and the ability to read, analyze, and interpret legal documentation and understand its potential impact on the company. Prior experience with clerical work, filing, records management, or data entry preferred. Excellent written and verbal communication skills, including strong grammar and interpersonal skills. Exceptional attention to detail, accuracy, and reliability. Strong analytical, organizational, problem-solving, and judgment skills. Ability to work independently with minimal supervision while following established procedures and instructions. Ability to prioritize and manage multiple tasks, organize workflow, take initiative, and meet deadlines. Strong interpersonal skills and the ability to communicate effectively with internal teams and external requestors. Ability to work effectively in a structured environment and follow established processes. Ability to handle confidential and sensitive information with professionalism and discretion. Strong overall knowledge of company processes, systems, and procedures. Comfortable using scanners, copiers, desktop computers, and standard office applications.
