This role is ideal for an individual who thrives in a small, collaborative environment and is capable of supporting both day-to-day office operations and administrative functions across the firm. This position serves as the first point of contact for visitors and clients, while also providing administrative support to staff, the President, and the CFO, including assistance with light bookkeeping tasks.
Responsibilities:
Serve as the primary point of contact at reception, greeting clients and visitors in a professional and welcoming manner Answer and direct incoming phone calls, manage general inquiries, and handle mail and deliveries Maintain a clean, organized, and presentable front office and common areas Provide administrative support to staff, the President, and the CFO, including scheduling meetings, coordinating calendars, and assisting with general office needs Assist with bookkeeping tasks, including data entry, invoice processing, expense tracking, and coordination with the CFO Support accounts payable and receivable processes as needed Coordinate outgoing shipments, including preparing and sending packages via UPS and other carriers Prepare, seal, stamp, and send drawing sets in accordance with firm and regulatory requirements Maintain and organize digital and physical files, ensuring accuracy and accessibility Coordinate office supplies, vendor orders, and service requests Assist with internal events, lunch and learns, meetings, and day-to-day office operations Provide general support to project teams and assist with miscellaneous administrative tasks as needed
Qualifications:
2-5 years of experience in an administrative, receptionist, or office support role Associate's or Bachelor's degree preferred Experience with basic bookkeeping or accounting functions preferred but not required Proficiency in Microsoft Office Suite (Outlook, Word, Excel) required Experience with accounting software (e.g., QuickBooks or similar) is a plus Strong organizational and time management skills with the ability to prioritize tasks Excellent verbal and written communication skills Professional demeanor with strong interpersonal skills Ability to work both independently and collaboratively in a team environment Detail-oriented with a high level of accuracy and accountability Qualified candidates, please include a cover letter and resume with your application.
