Job Description

Position Summary The Executive Assistant to the President is the force multiplier behind one of the most demanding roles in the enterprise. The President - Hirschi Companies is the right hand to the Chief Executive Officer, carries direct accountability for consolidated enterprise profitability, and owns Finance, Technology, People, Safety, Legal, Risk, and Real Estate enterprise-wide. The President works across every operating business, every team, and every seat — showing up wherever help is needed — and leads the enterprise function leaders: the Chief Financial Officer, VP of Technology, Chief People Officer, and General Counsel. This role exists to protect the President's time and extend his reach so that standard is applied everywhere at once. The Executive Assistant manages 100-200 emails per day, drives meeting and committee follow-through to completion, prepares the President for every business review and partner conversation, coordinates travel and events, supports active projects and the real estate portfolio, and keeps commitments moving across every entity. Because this seat touches confidential financial, technology, people, and legal matters daily, it demands absolute discretion. The Executive Assistant is expected to work to the same standard the President sets for the enterprise — Extreme Professionalism, Proactive Communication, and the confidence to act — operating two steps ahead, closing loops without being asked, and representing the Office of the President to leaders, partners, and the field with a consistently elite standard. Job Summary We are seeking an energetic and highly organized Executive Assistant to support our President. This vital role involves providing comprehensive administrative support, managing complex calendars, coordinating projects and events, and ensuring seamless internal communication. The ideal candidate will thrive in a fast-paced environment, demonstrating exceptional organizational skills, technical proficiency, and a proactive approach to assisting executive leadership.
Essential Job Responsibilities:
Calendar & Time Management Own the President's calendar — schedule, sequence, and stage each day so the President is in the right place, prepared, and focused on the highest-leverage work across every business, team, and seat. Protect strategic time — keep Mondays after 1:00 PM and all day Friday free from scheduled meetings unless expressly approved by the President. Exercise decline authority — decline, reschedule, or delegate low-leverage meeting requests on the President's behalf within defined guidelines. Schedule and brief lunch meetings — arrange the President's lunch meetings and prepare an individualized purpose and briefing for each person or group he is meeting. Resolve conflicts proactively — coordinate with the Executive Assistant to the CEO, business Presidents, enterprise function leaders, and external partners to keep the executive calendar aligned. Email & Communications Triage the inbox daily — filter, prioritize, and organize 100-200 emails per day so only what matters reaches the President. Respond on behalf of the President — answer routine and defined categories of email directly, and draft replies for approval on higher-stakes items. Protect direct-to-President items — route the CEO/owner (Chad Hirschi), the enterprise function leaders (CFO, VP Technology, CPO, General Counsel), and external partners — lenders, sureties, carriers, auditors, and outside counsel — straight to the President, untouched. Draft correspondence in his voice — prepare crisp, on-brand emails, letters, and internal communications for the President's review and release, consistent with Proactive Communication and the Expect More standard. Enterprise Meeting, Committee & Governance Support Own the Social Operating System meeting cadence — schedule, assemble agendas, capture decisions, and hold preparation and follow-through on track for all of the meetings on the Social Operating System meeting calendar. Build meeting agendas — prepare agendas for the meetings the President leads, aligned to his priorities and desired outcomes. Prepare the President for every business — assemble pre-reads and briefing notes — with the numbers already pulled — for business reviews, budget builds, forecast reviews, recovery plans, and 1:1s with business Presidents and function leaders. Own meeting follow-through (priority) — capture decisions and action items, distribute tasks and responsibilities to attendees after each meeting, and follow up regularly until every item is complete. Prepare presentations — build executive-ready decks for trainings, executive financial reviews, and enterprise updates. Track the President's deadlines — maintain a personal deadline register and proactively follow up to ensure the President's own commitments and due dates are hit. Coordinate the weekly briefing — prepare the President's weekly briefing in coordination with the Executive Assistant to the CEO. Principles, Policies & Procedures Support Maintain the PPP library — support drafting, publication, version control, and upkeep of the Hirschi Principles, Policies, and Procedures library across all enterprise functions, keeping it current and never allowing it to go stale. Coordinate training and rollout — help ensure those affected are taught and trained on new or revised standards, and track acknowledgment and completion. Support compliance cadence — help schedule and document the audit/compliance cadence and track resulting action items to closure. Project, Real Estate & Asset Coordination Provide light project-engineer support — help move active construction and development projects forward — logging, routing, and following up on RFIs, and tracking project schedules and milestones, flagging slippage early. Support the real estate portfolio — coordinate tenant communications, repairs and maintenance, leasing activity, and property records across the enterprise real estate and holding entities. Maintain records to standard — keep project, property, and asset documentation organized and current to the same standard as every other enterprise function. Technology, Systems & Records Operate across the enterprise stack — work fluently in the President's toolset — Outlook, Teams, SharePoint, PowerPoint, Power BI, Monday.com — and support enterprise platforms such as HALO and Microsoft Fabric as needed. Support a single source of truth — help keep the President's trackers, dashboards, and records aligned to enterprise reporting so he is always working from the same numbers as every other leader. Steward information responsibly — handle system access, files, and data in line with enterprise data-security and confidentiality standards. Policy Communications, Social Media & Recognition Assist with social media — support the President's social media postings, drafted and scheduled in his voice for approval. Drive employee recognition — run the President's calendar to congratulate and recognize employees for KPI and operational successes, birthdays, and work anniversaries — reinforcing the Expect More culture and Team Player standard. Travel, Event & Training Planning Own travel logistics — plan and book travel and itineraries across the enterprise's states of operation, with briefing packets for high-stakes trips. Plan events and trainings — coordinate leadership events, offsites, trainings, and enterprise gatherings end-to-end Must Have - Required Qualifications Five (5) or more years supporting a President, CEO, or C-suite executive, ideally in a multi-entity organization. Mastery of Microsoft 365 — Outlook, Teams, SharePoint, PowerPoint, and Excel — with working proficiency in Power BI and Monday.com. Strong presentation-building skills for trainings, executive financial reviews, and enterprise updates. Elite calendar, inbox, travel, and executive-communication skills, with the judgment to act on the President's behalf. Proven proactivity — anticipates needs, thinks ahead, and closes loops without being asked. Exceptional organization and follow-through; manages many moving parts across multiple businesses without dropping details or commitments. A collaborative operator who works well with and through others across every level of the enterprise. Absolute discretion and confidentiality with sensitive financial, HR, legal, and technology information. Able to read and write in English at a level sufficient to communicate effectively with leaders, team members, partners, and clients. Must pass a mandatory pre-employment drug test. In-person, Monday through Friday, at the North Las Vegas HQ. Nice To Have - Preferred Qualifications Construction, real estate, or diversified operating-company background. Exposure to project workflows (RFIs, submittals, scheduling) or property management. Experience writing or maintaining policies/procedures and coordinating training or change communications. Social media and internal-communications experience. Familiarity with an enterprise ERP, Monday.com, Microsoft Fabric, and AI productivity tools (Copilot, Claude, or equivalent). Bachelor's degree in Business Administration, Communications, or a related field. Bilingual in English and Spanish. Pay:
$85,000.00 - $120,000.00 per year
