Job Description
Full-Time | Monday-Friday | Oswego County, NY We are seeking an experienced, highly organized Senior Bookkeeper & Executive Assistant to support a growing group of privately owned businesses, including real estate/property management and warehousing/logistics operations. This position will take primary responsibility for the day-to-day bookkeeping and financial administration of multiple business entities while also providing administrative support to ownership and General Managers. Key Responsibilities
- Maintain accurate books for multiple LLCs and operating companies
- Manage bank and credit card reconciliations
- Oversee accounts payable, bill payment, and accounts receivable
- Review and properly classify transactions and vendor invoices
- Track and reconcile intercompany transactions
- Prepare journal entries and reconcile balance sheet accounts
- Assist with payroll accounting and expense allocations
- Track loans, mortgages, fixed assets, and capital expenditures
- Prepare monthly financial statements and management reports
- Maintain accurate and timely month-end closing procedures
- Prepare schedules and documentation for CPAs, lenders, insurance companies, and other professionals
- Assist with property management and warehousing-related accounting
- Identify discrepancies and help strengthen internal financial controls
- Maintain organized financial records and documentation Executive Assistant Responsibilities
- Provide administrative support to ownership and General Managers
- Assist with calendars, meetings, deadlines, and follow-up items
- Organize contracts, financial records, and business documents
- Draft professional correspondence and reports
- Communicate with vendors, lenders, accountants, attorneys, and insurance representatives
- Gather and organize documents for banks, CPAs, and other professionals
- Track renewals, deadlines, and outstanding action items
- Assist with employee documentation and special projects
- Maintain strict confidentiality of financial and business information Qualifications
- 5+ years of bookkeeping or accounting experience preferred
- Strong QuickBooks Online experience required
- Experience managing books for multiple companies or LLCs strongly preferred
- Strong knowledge of reconciliations, AP/AR, journal entries, and general ledger accounting
- Strong Excel or Google Sheets skills
- Excellent attention to detail and organizational skills
- Ability to work independently and manage multiple priorities
- Strong communication and problem-solving skills
- Experience in real estate, property management, warehousing, or logistics is a plus Ideal Candidate We are looking for someone who goes beyond basic bookkeeping and takes ownership of their responsibilities.
