Job Description

We are seeking a highly organized, proactive, and detail-oriented Executive Administrative Assistant to support a business owner in a fast-paced financial services environment. This individual will play a critical role in daily operations, helping ensure the office runs efficiently while delivering a high level of service to clients. Key Responsibilities:
Provide direct administrative and operational support to the business owner Manage scheduling, calendars, and coordination of meetings and appointments Assist with client communications, including calls, emails, and meeting preparation Prepare, process, and track paperwork with a high level of accuracy and timeliness Help coordinate client meetings, events, and follow-ups Maintain organized systems and ensure compliance with industry standards Identify opportunities to improve processes and enhance efficiency Act as a point of contact to help ensure a seamless client experience
Qualifications:
Prior administrative experience required; experience supporting executives is a plus Previous experience in the financial services industry (or a related field) preferred Strong customer service skills with a client-first mindset Exceptional organizational skills and attention to detail Ability to prioritize, multitask, and manage time effectively in a fast-paced environment Proactive mindset with the ability to anticipate needs and solve problems independently Professional communication skills, both written and verbal High level of discretion and integrity Proficiency with standard office and CRM systems
