Primarily Monday-Friday | Occasional weekend availability required

Full-Time We are seeking a highly organized, detail-oriented Executive Assistant to support the CEO of a growing and diversified portfolio of businesses. This is an important role for someone who enjoys being the person who keeps things moving . The ideal candidate is organized, resourceful, comfortable working with numbers, and able to take ownership of assignments from start to finish. You will work closely with the CEO on day-to-day priorities, administrative responsibilities, financial and accounting-related tasks, and special projects. We are looking for someone who can understand the objective, determine what needs to happen, follow through, and communicate when something needs attention. What You'll Do Provide direct administrative and organizational support to the CEO Manage and follow up on assigned tasks and projects from beginning to completion Coordinate schedules, meetings, appointments, and important deadlines Assist with accounting-related and financial administrative tasks, including reviewing invoices, tracking expenses, organizing financial information, and communicating with vendors or accounting personnel Prepare reports, spreadsheets, correspondence, presentations, and other business documents Maintain organized records and ensure important information is easy to locate Help coordinate projects involving property, shipping, warehousing, vendors, and other business operations Monitor deadlines and follow up with others to keep projects on track Research information and provide the CEO with organized, useful summaries Identify problems or potential issues and bring them to the CEO's attention with possible solutions Handle confidential business information with discretion Assist with special projects and other priorities as they arise Serve as a reliable point of coordination between the CEO and various internal and external contacts What We're Looking For The successful candidate will be: Highly Detail-Oriented You notice the missing detail, catch the discrepancy, and make sure things are completed correctly. Accountability-Minded When you are given a task, you take ownership of it. You don't simply wait for the next instruction—you follow through and make sure it gets done. Organized & Resourceful You can manage multiple priorities, keep track of deadlines, and figure out how to get answers when you don't immediately know them. Comfortable With Numbers You don't need to be an accountant, but you should be comfortable reviewing financial information, working with spreadsheets, understanding invoices and expenses, and recognizing when something doesn't look right. A Strong Communicator You are comfortable communicating professionally with executives, employees, vendors, customers, and business partners. A Problem Solver You bring solutions—not just problems. You are comfortable researching an issue, identifying options, and helping determine the next step. Experienced With Projects Previous project management, project coordination, or similar experience is strongly preferred. You should be comfortable managing multiple steps, deadlines, people, and deliverables. Qualifications Previous experience as an Executive Assistant, Administrative Manager, Office Manager, Project Coordinator, or similar role Experience supporting an executive, owner, or senior leader preferred Accounting or bookkeeping experience/knowledge strongly preferred Experience coordinating projects or managing multiple workstreams Excellent written and verbal communication skills Strong organizational and time-management abilities Ability to handle confidential information appropriately Ability to work independently and exercise good judgment Strong attention to detail and follow-through Ability to prioritize changing demands in a fast-paced business environment Schedule & Availability The majority of the work will be performed Monday through Friday . Because this position directly supports the CEO and a portfolio of operating businesses, occasional weekend availability is required—generally once or twice per month for time-sensitive matters or business needs. Pay:
$48,000.00 - $52,000.00 per year
