Executive Assistant The Amigo Group APLC Los Angeles, CA Job Details Full-time $62,251.29 - $74,969.30 a year 16 hours ago Qualifications Executive administrative support Attention to detail Office management Crew management Time management Full Job Description We are seeking a highly organized, dependable, and proactive Executive Assistant / Office Manager to support and oversee day-to-day administrative operations. This is not a traditional assistant position limited to scheduling and basic clerical work. We are looking for someone who can take ownership of administrative responsibilities, keep the office organized, manage competing priorities, and make sure tasks actually get completed without constant supervision. The ideal candidate is resourceful, professional, comfortable managing employees and vendors, and capable of handling sensitive financial and business information with discretion. Responsibilities Provide direct executive and administrative support Draft, send, and manage routine emails and business correspondence on behalf of the attorney Manage calendars, appointments, meetings, reminders, and follow-ups Coordinate and process payroll Assist with bookkeeping, accounting, invoices, expenses, payments, and financial recordkeeping Communicate with the firm's accountant, payroll providers, vendors, and other outside professionals Oversee general office administration and day-to-day operations Help manage employees, including assigning and following up on administrative tasks Maintain organization and accountability across staff Handle vendor relationships, invoices, subscriptions, and recurring business expenses Organize documents, records, and administrative files Track deadlines and ensure important administrative matters are completed on time Identify operational problems and take initiative to resolve them Handle miscellaneous administrative and executive tasks as they arise Maintain strict confidentiality regarding firm, employee, financial, and client information Qualifications Prior experience as an Executive Assistant, Office Manager, Operations Coordinator, or similar role Strong organizational and time-management skills Excellent written and verbal communication skills Comfortable drafting professional emails and communicating on behalf of an executive Experience with payroll, bookkeeping, accounting support, or financial administration strongly preferred Comfortable supervising or coordinating employees Strong computer skills and ability to learn new software quickly High attention to detail Professional judgment and discretion when handling confidential information Ability to prioritize multiple responsibilities without requiring constant direction Who We're Looking For We are looking for someone who is proactive rather than reactive . If you see that something needs to be done, we expect you to take ownership of it, determine the appropriate next step, and follow through. The right person will become the central point of coordination for the firm's administrative operations and significantly reduce the amount of day-to-day administrative work handled by the managing attorney and other senior staff. This position is best suited for someone who enjoys responsibility, organization, problem-solving, and being the person who keeps an office running smoothly.
Pay:
$62,251.29 - $74,969.30 per year
