We specialize in remodeling, roofing, outdoor living, property maintenance, and commercial improvements. We are building a company driven by systems, accountability, and exceptional customer service. We are looking for an Executive Operations Assistant who thrives on organization, problem-solving, and helping a CEO stay focused on growing the business. This is not a traditional administrative assistant position. We are looking for someone who enjoys taking ownership, keeping projects moving, improving processes, and ensuring nothing falls through the cracks. Position Summary The Executive Operations Assistant serves as the CEO's right hand. Your mission is to create organization, maintain accountability, coordinate projects, and keep daily operations moving efficiently. You will manage executive priorities, organize information, coordinate meetings, monitor company systems, prepare reports, and ensure follow-through across multiple departments. ResponsibilitiesExecutive Support Manage the CEO's calendar and scheduling Organize meetings and prepare agendas Take meeting notes and distribute action items Draft professional emails and correspondence Prioritize executive communications Coordinate travel and appointments as needed Project Coordination Track company initiatives and deadlines Follow up with team members on assigned tasks Monitor project status updates Maintain executive task lists Ensure commitments are completed on time Operations Support Maintain company SOPs and documentation Organize Google Drive and digital files Assist with CRM and project management software Prepare reports and presentations Update company dashboards Sales & Marketing Support Monitor proposal pipeline Track contracts and customer follow-up Coordinate monthly marketing campaigns Assist with newsletters and email campaigns Help maintain company website and social media schedules Reporting Prepare weekly executive reports including: Sales pipeline Marketing activity KPI dashboards Outstanding tasks Upcoming deadlines Customer follow-up Leadership meeting summaries Qualifications Preferred qualifications include: 3+ years supporting executives, business owners, or leadership teams Excellent written and verbal English communication skills Exceptional organizational skills Strong attention to detail Ability to manage multiple priorities simultaneously High level of professionalism and confidentiality Self-motivated with minimal supervision Comfortable learning new software quickly Preferred Software Experience Experience with some or all of the following is helpful: Google Workspace Microsoft Office JobTread (or similar construction management software) CRM systems Asana, Monday.com, ClickUp, Trello, or similar project management software Canva Mailchimp QuickBooks (basic familiarity) The Ideal Candidate The right person is: Extremely organized Naturally proactive A strong communicator Detail-oriented Calm under pressure Comfortable holding others accountable Passionate about improving systems Able to anticipate needs before being asked What Success Looks Like Within your first six months, you will: Keep executive priorities organized Ensure deadlines are consistently met Improve communication across departments Maintain organized company documentation Produce accurate weekly executive reports Help free the CEO to focus on growth and strategic initiatives Why Join Us?
