We're looking for a dependable, organized, and proactive person to join our team as an Executive & Operations Assistant. This isn't a traditional desk-only assistant position. You'll work closely with our owner while also supporting our project management, bookkeeping, sales, marketing, and day-to-day operations. The position will start small—approximately 10 hours per week—with the opportunity for both hours and responsibilities to grow. This could be a great fit for a college student, recent graduate, or someone early in their career who wants hands-on experience in a growing small business. What You'll Help With Responsibilities will evolve as you learn the business and grow into the position. Depending on the week, you may assist with: Administrative & Customer Support Answer incoming business calls and communicate professionally with customers Take new lead information and schedule estimates Assist with calendars, appointments, follow-ups, and other administrative tasks Enter customer payments and send invoices Help gather and organize information needed by our bookkeeper Maintain accurate customer and project information Order company shirts, printed materials, marketing collateral, and other supplies Pick up blueprints, checks, documents, or other business materials as needed Marketing & Content Visit active and completed job sites to capture photos and video Take before-and-after and project progress photos Capture short-form video for social media and marketing Help create and post content to our social media accounts Organize project photos and videos for future marketing use Look for opportunities to showcase our projects, crews, and company culture Operations & Field Support Deliver and pick up yard signs at active and completed job sites Occasionally pick up or deliver paint, materials, checks, blueprints, or other business items as needed Help with small logistical needs between the office, customers, project manager, and crews Assist with miscellaneous projects and operational needs as they arise Because we're a growing small business, no two weeks will look exactly the same. We're looking for someone who enjoys variety, is willing to jump in where needed, and can eventually take ownership of recurring tasks without needing constant direction. Who We're Looking For You don't need years of experience. We care more about finding someone with the right attitude, work ethic, and potential.
Our ideal candidate is:
Reliable and follows through Organized and detail-oriented Friendly, professional, and comfortable communicating with customers Comfortable making and answering phone calls A strong communicator Self-motivated and able to work independently Resourceful and willing to figure things out Comfortable learning new software and systems Creative and comfortable taking quality photos and videos with a phone Professional when interacting with homeowners, vendors, crews, and business partners Flexible and willing to help wherever needed Someone who notices what needs to be done instead of always waiting to be asked Experience with social media, Canva, photography/video, customer service, office administration, or small-business operations is a plus, but not required. A valid driver's license and reliable transportation are required , as some responsibilities will involve local driving to job sites, vendors, customers, or suppliers. Schedule Approximately 10-20 hours per week to start , with some flexibility based on company needs and your availability. Some responsibilities may be completed remotely, while others will require being out and about in the Gilbert/East Valley area for jobsite visits, errands, meetings, or other business needs. We're intentionally starting this position small, but we're looking for someone who wants to grow with us. As Coleman Painting continues to grow, this position has the potential for increased hours, greater responsibility, and eventually a full-time role. Compensation & Growth Starting pay: $17-$19/hour, depending on experience. As you become more independent, take ownership of additional responsibilities, and help take more off our leadership team's plate, there will be opportunities for increased compensation and hours.Additional benefits may include:
