This bilingual role (Korean and English) is vital in ensuring seamless daily operations, effective communication, and efficient management of executive schedules. The ideal candidate will thrive in a fast-paced environment, demonstrating exceptional office management skills, cultural fluency, and a passion for facilitating executive success. This paid position offers an exciting opportunity to contribute to a dynamic team while honing your administrative expertise. Responsibilities Provide comprehensive administrative support to the C-VP, including managing complex calendars, scheduling meetings, and coordinating travel arrangements. Serve as the primary point of contact for internal and external communications, demonstrating professional phone etiquette and courteous customer service. Prepare, proofread, and transcribe documents, reports, presentations, and correspondence with precision and attention to detail. Organize and maintain filing systems—both physical and digital—ensuring easy retrieval of important documents. Assist with event planning for meetings, corporate events, and team activities, including logistics coordination and material preparation. Manage office supplies inventory using tools like QuickBooks or other bookkeeping software; handle basic bookkeeping tasks such as expense tracking and invoicing. Support project coordination efforts by tracking deadlines, preparing agendas, and following up on action items to ensure timely completion. Utilize Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools, and Microsoft Outlook Calendar to streamline daily operations. Operate multi-line phone systems efficiently while maintaining professional communication standards. Handle data entry tasks with accuracy using office software; support clerical duties such as filing, photocopying, and scanning documents. Assist with personal assistant responsibilities as needed to support the executive's personal schedule or special projects. Skills Proven experience in executive administrative support or personal assistant roles within a corporate environment. Strong organizational skills with the ability to prioritize tasks effectively in a busy setting. Excellent written and verbal communication skills in both Korean and English; ability to translate or interpret as necessary. Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications, QuickBooks (or similar bookkeeping software), and DocuSign for electronic signatures. Skilled in event planning, project coordination, office management, and data entry processes. Familiarity with multi-line phone systems, calendar management tools like Microsoft Outlook Calendar, and office equipment operation. Attention to detail with proofreading and transcription abilities that ensure accuracy in all documentation. Demonstrated customer service skills combined with professional phone etiquette to handle inquiries courteously. Ability to manage confidential information discreetly while maintaining a high level of professionalism.
