Overview We are seeking a highly organized and detail-oriented Executive Administrative Assistant to support our executive team and ensure the smooth operation of our office. This role requires a professional with strong office management skills, excellent communication abilities, and proficiency in various productivity software. The ideal candidate will be adept at handling multiple tasks efficiently, maintaining confidentiality, and providing exceptional vendor and team support. Responsibilities Manage calendars, schedule appointments, and coordinate meetings for executives and staff Maintain yearly calendar of high-priority tasks, coordinate with appropriate players, and ensure all tasks are completed by appropriate department and within deadlines Handle incoming calls with professionalism and courtesy Prepare, proofread, and edit documents, reports, and correspondence using Google Workspace including Google (docs, sheets, presentations) and other productivity software including Slack, Trello, and Jira (training provided) Maintain accurate filing systems both electronically and physically for easy retrieval of documents; assisting production team with inventory management and recording This role will eventually assist with the implementation of ERP (enterprise resource planning) software (training provided) Perform data entry tasks with high accuracy to support administrative operations Assist with office management duties such as ordering supplies, managing office equipment, and ensuring best price is achieved for these purchases Provide exceptional professional communication with outside vendors by addressing inquiries via phone or email promptly and professionally Coordinate travel arrangements and assist in organizing events or company functions as needed Perform general clerical tasks Act as personal assistant to key company executives including CEO, through email duties, managing calendars, and providing pre-meeting and post-meeting documents, follow up and key "To Do" items as required to enhance productivity and time management of Executive Team. This requires keen attention to detail and managing large amounts of information at any given time. Experience Previous office experience or administrative support roles preferred, including familiarity with clerical tasks Proficiency in Google Workspace, familiarity with productivity software, and ease of learning new systems is essential Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Excellent communication skills—both verbal and written—and phone etiquette are required Technical proficiency in office management tools is necessary Demonstrated ability to handle confidential information discreetly while maintaining professionalism at all times Available to work both hybrid schedule and full time in office as business requires. The goal would be eventually to be full time in office but there are current space constraints. Comfortable with in-person, remote, and written communication across varied groups including but not limited to: Executive Team, Managers, Vendors, Production Team, and outside consultants This position is integral to the efficient functioning of our organization.
