Full Job Description Job Overview:
We are seeking a detail-oriented individual to join our team as a Register. The ideal candidate will have a background in legal administrative tasks and possess excellent customer service skills.
Job Description:
Located in the Register of Deeds office, this Non-Civil Service position is responsible for performing a variety of office and administrative support duties associated with the recording of legal documents. Duties include greeting customers, providing information and guidance, reviewing and recording various legal documents, receiving and processing payments, answering phone calls providing assistance with recording requirements and filing fees. Performs related duties as required.
MAJOR JOB RESPONSIBILITIES
Receives and processes various legal documents for recording such as warranty deeds, deeds of trusts, liens, powers of attorney, fixture filings, easements, subdivision plats, etc. Reviews and verifies legal filing requirements for documents presented for recording. Returns all documents needing correction or fee adjustments. Validates documents presented for recording by noting the date and time recorded, assigning document instrument numbers, providing a receipt of the amount of fees charges and notes the appropriate place or person to return original documents to after recording. Greets customers and provides information and assistance associated with document recording such as filing requirements and calculates filing fees. Answers telephone calls directed to recording staff by customers requesting assistance.
MINIMUM QUALIFICATIONS
Any combination of education and experience that would prepare the incumbent to perform the duties of the position at the appropriate level. Employees would typically have a Bachelor's Degree and considerable experience in the professional field related to real estate, banking, office management, accounting or related field; experience working in a government office setting and serving the public; good organizational, interpersonal and decision making skills; attention to detail; or any equivalent combination of education and experience to provide the following critical knowledge, abilities and skills:
PREFERRED EXPERIENCE, KNOWLEDGE, SKILLS, AND ABILITIES
Skill in working with the public. Skill in interacting with other specialists and experts in the same or related fields. Ability to exercise judgment. Ability to write letters and understand statistical/analytical reports. Ability to assess situations accurately. Ability to communicate effectively, both orally and in writing. Ability to keep accurate records and write detailed reports. Ability to establish and maintain effective working relationships. A successful candidate will be a self-starter, team player, have excellent interpersonal skills, attention to detail, high ethical standards, superior multi-tasking ability and desire to work in a fast-paced environment.
