Position Summary Performs administrative and clerical duties in support of the Tribal Court. Essential Duties and Responsibilities 1. Receives court filed complaints, petitions, and motions. 2. Responsible for using the case management system to open, docket, and close cases based on judgement details. 3. Provides customer service information by providing general procedural information without giving legal advice. 4. Uses the case management system to open cases, make notations of file status, review documents for accuracy, and enters in case data. 5. Scans documents into the Records Management electronic system. 6. Receives revenues, enters into ledger accounts, and reconciles. 7. Processes, maintains, and distributes documents, files, and case materials. 8. Accurately disburses bond payments, prepares, and maintains bond reports. 9. Prepares, proofreads, edits, and mails out documents such as notices and final orders. 10. Maintains electronic receipts and ensures court fees are; accurately assessed, paid, receipted, and correctly recorded in the case management system. 11. Certifies and prepares court recordings and meeting minutes for court hearings. 12. Ensures the office, courtrooms, and equipment are operational. 13. Under general supervision, will perform clerical and technical duties involved in case processing, file maintenance, and the conduct of the clerical business of the court. 14. Answers phone calls, addressing incoming and outgoing correspondence. 15. Maintains office supplies and equipment. 16. Files documents in accordance with administrative procedures and legal requirements. 17. Maintains confidentiality of all privileged information. 18. Builds a professional relationship with internal/external contacts in an approachable and attentive manner. 19. Punctual and regular attendance is an essential responsibility for all team members and are expected to report to work based upon the assigned scheduled each day in accordance with the Attendance Policy for Pueblo Sandia. Additional Responsibilities 1. Performs additional duties as assigned. Key Performance Indicators This position has Key Performance Indicators (KPI's) identified as a measurement of success. KPI's will be shared with all team members who work in this job title and feedback will be provided regarding the successful completion of the KPI's as part of the performance review process. Knowledge, Skills, and Abilities 1. Demonstrates knowledge of; legal terminology and phrases, filing methods, case processing, knowledge of Specialty Court Programs, research methodology, court fee accounting practices, court monitoring procedures, and general organizational structure of a Tribal Court. 2. Must be a team player with strong word processing and organizational skills. 3. Proficient with Word, knowledge of court systems and superior clerical skills are required. 4. Should be skilled, attentive to detail and accurate. 5. Ability to pass stringent background investigation. 6. Ability to operate general computerized office machines and equipment. 7. Ability to understand and follow oral and written instructions. 8. Ability to deal effectively with the public. 9. Basic understanding of court statutes and rulings. 10. Education and Experience Required:
1. High School Diploma, GED certificate or equivalent. 2. Two (2) years' experience performing clerical functions in a legal office or courtroom setting.

Relevant work experience or education may be substituted to satisfy education and/or work experience. License/Certifications/Registrations 1. Must possess and maintain a valid, unrestricted New Mexico driver's license. 2. Must be able to successfully pass a stringent background investigation and character investigation in compliance with

Ability to receive detailed information through oral communication, and to make the discriminations in sound. Kneeling Bending legs at knee to come to a rest on knee or knees. Lifting Raising objects from a lower to a higher position or moving objects horizontally from position-to-position. This factor is important if it occurs to a considerable degree and requires substantial use of upper extremities and back muscles. (40 lbs. Maximum) Pulling Using upper extremities to exert force to draw, haul, or tug objects in a sustained motion. Pushing Using upper extremities to press against something with steady force to thrust forward, downward, or outward. Reaching Extending hand(s) and arm(s) in any direction. Seeing The ability to perceive the nature of objects by the eye. Walking Job requirements include, in the performance of duties, walking throughout the work area, on various work surfaces throughout internal or external locations. Seeing The ability to perceive the nature of objects by the eye. Sitting Particularly for sustained periods of time. Standing Particularly for sustained periods of time. Stooping Bending body downward and forward by bending spine at the waist. This factor is important if it occurs to a considerable degree and requires full motion of the lower extremities and back muscles. Talking Expressing or exchanging ideas by means of the spoken word. Those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly.
