Job Description

Under supervision of the Municipal Court Clerk and the Customer Service Supervisor, provides administrative support to the Municipal Court, including dealing with all forms, citations, dockets, correspondence, data entry, bond and court cash balances, deposits, preparation of reports, scheduling of court dates, notices of suspensions, subpoenas, hearings, filing, warrants, and answering the telephone. Provides clerical and administration support for the Municipal Court. Directs others in carrying out Judges' rulings; implements court procedures. Prepares court session; runs docket for cases scheduled for court session, checks each case and corrects any mistakes; and checks supplies. Calls court to session; takes information, schedules hearing dates, changes court dates, schedules continuances, locates files and citations, answers questions and explains processes. Processes disposition of cases. Makes determination regarding dismissal of some cases; accepts some pleas. Schedules hearings; notifies officer and requests and secures any accident or incident reports; notifies complaining parties, witnesses or others involved in case; types subpoenas and forwards to police department, files when returned, runs court dockets on computer, corresponds with all parties involved as appropriate; enters disposition of case in computer. Prepares and disseminates failure to appear notices for traffic violations. Answers inquiries regarding tickets, hearings, or related court issues. Prepares appropriate warrants for distribution. Maintains files and records. Serves as liaison to Municipal Judge as required. Will Assume Municipal Court Clerks Duties as assigned by Court Clerk or in the absence of the Court Clerk. Performs other related duties as assigned.
Education and Experience:
High School diploma or GED; and abilities to perform the essential functions of the job.
Licenses and Certifications:
None.
Knowledge of:
Procedures, policies, and operations of Municipal Court. Applicable state, federal and local ordinances, laws, rules and regulations. Recordkeeping, report preparation, filing methods and records management techniques. Correct English usage, including spelling, grammar, punctuation, and vocabulary. Standard business arithmetic, including percentages and decimals. General office procedures, policies and practices, as well as basic knowledge of computer/VDT and other general office equipment. All computer applications and hardware related to performance of the essential functions of the job.
Skill in:
Using tact, discretion, initiative and independent judgment within established guidelines. Organizing work, setting priorities, meeting critical deadlines, and following up on assignments with a minimum of direction. Applying logical thinking to solve problems or accomplish tasks; to understand, interpret and communicate complicated policies, procedures and protocols. Using a computer terminal to accurately and rapidly enter and retrieve data and information. Typing at a rate of 45 net words per minute. Communicating clearly and effectively, both orally and in writing. Preparing clear and concise reports, correspondence and other written materials.
Mental and Physical Abilities:
Ability to add, subtract, multiply and divide whole numbers, common fractions and decimals. Ability to establish and maintain effective working relationships with a variety of individuals. Ability to work independently, without close supervision. While performing the essential functions of this job the employee is regularly required to sit, use hands to finger, handle, or feel, and speak and hear and is occasionally required to lift and/or move up to 10 pounds.
Working Conditions:
Work is performed in a normal office environment with little exposure to outdoor temperatures or dirt and dust. The incumbent's working conditions are typically moderately quiet, but may be loud at times.
