Clerk's Office :
The Circuit Court Clerk's Office is the administrative arm of the Circuit Court. Our day-to-day operations significantly impact the Chesterfield community. The Clerk's Office prioritizes accessibility, transparency, effectiveness and being constituent focused. The staff within the Clerk's Office are responsible for providing administrative support, record keeping, case management, court-related financial matters, and, most importantly, adhering to the law.Position Summary:
This position serves as a Principal Deputy Clerk- Court Operations, providing exceptional, confidential, and unbiased court user care while upholding the integrity of the judicial process.
Benefits:
- Hourly salary range of $26.97
- $31.70 based on experience. To maintain pay equity among staff, the ideal candidate will be offered $26.97, flexible based on experience.

Essential Duties and Responsibilities:
Court user support — Responds to phone, email, and walk-in inquiries; asks clarifying questions; provides accurate guidance; and directs individuals to the correct division. Concealed Handgun Permit processing — Reviews applications, receipts fees, coordinates background checks, prepares permits or denials, and updates CCMS, CIS, and COVERS. Notary commission management — Verifies statutory compliance, receipts fees, administers oaths, indexes commissions, provides certifications, and updates state systems. Minister registration — Registers ministers authorized to perform marriages in Virginia. Criminal case intake — Verifies offense, bond, custody, attorney, and defendant data; coordinates with District Court, Magistrate, and Commonwealth's Attorney to ensure complete records. Case assignment — Assigns judges, issues case numbers, checks conflicts, consolidates co-defendant matters, and organizes warrants. Case record creation — Establishes CCMS records, schedules hearings, generates case summaries, and incorporates filings into official files. Pre-trial record preparation — Reviews pleadings, prepares clerk sheets, fine/cost sheets, and organizes materials for hearings and trials. Grand jury processing — Creates sealed case files, enters indictments, and coordinates capias distribution. Service of process — Issues service documents, ensures accurate return dates, updates records upon service, and maintains execution paperwork. Interagency liaison work — Communicates with attorneys, law enforcement, Victim Witness, DOC, Probation, Magistrates, and other partners. Financial and case assistance — Helps defendants understand payment obligations; processes receipts, bail pieces, motions, and public file access. Search warrant handling — Processes search warrants and affidavits, verifies signatures, and updates the tracking system. Post-judgment actions — Issues garnishments, interrogatories, and writs; coordinates service with the Sheriff's Office. Order processing — Distributes orders, updates CCMS, scans into CIS and COVERS for permanent retention. Mail processing — Opens, sorts, verifies fees, researches case numbers, and routes filings for timely processing. Appeal setup. Perform other duties and special projects as assigned at the discretion of the Clerk of Court.Minimum Qualifications:
- High school diploma or GED; bachelor's degree in criminal justice/public administration or related field is preferred.
- Three (3) years of relevant experience in management of a court/legal environment; or an equivalent combination of training and experience in management of a court/legal environment or a related field.

Working Conditions:
- Office, courtroom, evidence room, and record/archives room environment.
- May require standing, lifting, and handling legal documents and evidence.
- Occasional interaction with incarcerated individuals and sensitive case materials.
Skills:
- Strong oral and written communication skills
- Interpret, apply and explain complex federal, state and local laws related to the areas of responsibility; to communicate effectively orally and in writing; to operate a personal computer and related software and other standard office equipment
- Develop and maintain effective working relationships with internal and external customers; supervise staff.
- Commitment to confidentiality and ethical handling of sensitive information
- Strong problem-solving and solution-oriented mindset, with adaptability to evolving tasks, initiatives, and collaborative cross-functional projects
- Proficient in Microsoft Office, case management systems, and other software applications; skilled in data entry, scanning, and digital document workflows, with the ability to quickly adapt to new technologies
