About A2K Scientific A2K Scientific manufactures and supplies diagnostic reagents, consumables, and molecular testing products to clinical laboratories, researchers, and industry partners. We are a small team, and our administrative staff play an important part in keeping daily operations organized and running smoothly. The Role We are seeking a detail-oriented Office & Operations Administrator to provide administrative support across our business. This role handles day-to-day tasks related to inventory, shipping, billing, payroll, facility administration, and customer communications. The ideal candidate is organized, dependable, and comfortable balancing a variety of tasks in a fast-paced environment. Key Responsibilities Inventory and Shipping Support
  • Maintain inventory records for reagents, consumables, and raw materials used on the manufacturing floor.
  • Monitor stock levels and notify management when items reach reorder points.
  • Prepare and submit purchase orders as directed; track order status and log incoming shipments.
  • Assist with setting up and maintaining the company's FedEx cold-chain shipping account.
  • Prepare outgoing shipments of temperature-sensitive products according to established packaging and documentation procedures.
  • Communicate with carriers regarding delayed or damaged shipments and escalate issues as needed. Billing and Office Administration
  • Prepare customer quotes, invoices, and packing slips.
  • Track accounts receivable and send reminders on past-due invoices.
  • Enter transactions in QuickBooks and assist with account reconciliation.
  • Work with outside accounting partners and help ensure recurring business payments and filings are completed on time.
  • Answer the main office phone line and general inbox; direct inquiries to the appropriate team member.
  • Take meeting notes, distribute summaries, and track follow-up items. Human Resources Administration
  • Process payroll and assist with benefits administration through Paychex.
  • Coordinate new-hire paperwork, including I-9 documentation, system access requests, and orientation scheduling.
  • Maintain organized and confidential personnel and administrative files. Customer and Marketing Support
  • Support outreach to prospective business customers, such as laboratories and research partners, using provided lists and templates; log contacts and follow-ups.
  • Respond to general customer inquiries and route technical or sales questions to the appropriate staff.
  • Assist with preparing and distributing marketing materials, including flyers, product sheets, and email announcements. Qualifications Required
  • 2+ years of experience in an administrative, office, or operations support role.
  • Working knowledge of QuickBooks (invoicing, receivables, data entry).
  • Proficiency in Microsoft Excel (sorting, formulas, basic tracking spreadsheets).
  • Experience processing payroll or supporting HR administration (Paychex preferred).
  • Familiarity with sales tax filings and business license renewals.
  • Clear written and verbal communication skills and a professional phone manner.
  • Strong organizational skills, attention to detail, and discretion with confidential information. Preferred
  • Experience in a laboratory, life sciences, healthcare, or manufacturing office.
  • Experience shipping temperature-sensitive materials (for example, dry ice or cold packs).
  • Basic design skills using Canva, Adobe Creative Suite, or similar tools.
  • Familiarity with Shopify, a CRM, or email marketing platforms.
  • Associate's degree or coursework in business administration, accounting, or a related field. What We Offer
