Job Description

Overview We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy Automotive environment. This vital role involves overseeing administrative functions, managing incoming calls, bookong appts/scheduling and coordinating communication channels, and ensuring a smooth workflow across the department. The ideal candidate will bring enthusiasm, efficiency, and a proactive approach to supporting our team and maintaining an inviting, well-organized workspace. Your leadership will help foster a productive atmosphere where everyone can thrive and focus on their core responsibilities..
AUTOMOTIVE EXPERIENCE A PLUS.
Duties Manage front desk operations, including greeting visitors, handling multi-line phone systems, and providing exceptional customer service. Oversee office supplies inventory, procurement, and filing systems to ensure all resources are readily available and well-organized. Invoicing. Coordinate calendar management and schedule appointments for executives and team members using Google Workspace or Microsoft Office tools. Maintain accurate data entry records, process invoices , and perform basic bookkeeping tasks. Handle phone etiquette professionally while managing incoming calls and directing inquiries efficiently. Support administrative functions such as proofreading documents, managing correspondence, and assisting with personal assistant duties when needed. Ensure the office environment complies with safety standards and is maintained in a clean, welcoming condition. Skills Proven experience in office management or administrative roles with strong organizational skills. Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools. Familiarity with bookkeeping Strong multitasking abilities with effective time management skills to prioritize tasks efficiently. Exceptional customer service skills combined with professional phone etiquette and communication abilities. Bilingual capabilities are a plus to support diverse client and staff interactions. Experience in front desk operations or medical/dental receptionist roles is advantageous. Ability to proofread documents meticulously while maintaining high attention to detail.
