Job Description
We're looking for someone who isn't just looking for a bookkeeping job—we're looking for someone who wants to become an integral part of our office. This role combines bookkeeping, payroll, accounting, and office management. Every day is a little different, so we're looking for someone who enjoys wearing multiple hats, staying organized, and helping a small business run efficiently. Responsibilities Make phone calls and respond to customer inquiries in a professional and friendly manner Manage incoming mail, email, and office correspondence Maintain organized digital and physical filing systems Assist with scheduling and coordinating appointments as needed Prepare customer invoices and assist with collections Maintain employee files and company records Assist with onboarding paperwork for new employees Coordinate with vendors and subcontractors regarding invoices and payments Help maintain company licenses, insurance certificates, and business documents Support the owners with administrative projects and day-to-day operations Look for ways to improve office procedures and efficiency Perform general administrative tasks to help keep the office running smoothly Manage day-to-day bookkeeping and maintain accurate financial records Clean up and keep QuickBooks organized and up to date Process employee payroll Calculate and process employee commissions Prepare reports and assist with invoicing, accounting and financial management Maintain organized financial records and office documentation Assist with general office administration and day-to-day business operations Help improve office systems and processes as the business continues to grow Prepare payroll and prevailing wage documentation Process certified payroll reports (if experienced) Track employee hours and commissions Maintain project files and accounting records Assist with job costing and expense tracking Reconcile vendor invoices and purchase receipts Work closely with the owners to keep projects organized and financially on track Qualifications Bookkeeping and accounting experience is required Strong working knowledge of QuickBooks Experience processing payroll Excellent organizational skills and attention to detail Strong problem-solving skills and the ability to work independently Professional, dependable, and trustworthy Excellent written and verbal communication skills Preferred Qualifications Experience with prevailing wage payroll is a plus Construction industry bookkeeping or accounting experience is a plus Position Details In-office position (not remote) Flexible part-time schedule for the right candidate Must reside in Huntington Beach or the surrounding cities We Think You'll Be a Great Fit If You...
