Duties Manage front desk responsibilities, including greeting visitors and directing calls using multi-line phone systems with professionalism and courtesy Handle data entry tasks accurately using spreadsheets, word processing, and productivity software to maintain organized records Oversee calendar management and schedule appointments or meetings for team members, ensuring optimal time utilization Utilize QuickBooks for basic bookkeeping tasks such as invoicing, expense tracking, and financial record keeping Support office management activities by maintaining filing systems, ordering supplies, and ensuring office equipment functions properly Provide exceptional customer service by responding promptly to client inquiries via phone or email and supporting client communication efforts Assist with clerical duties such as document preparation, filing, and maintaining organized digital and physical files Skills Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with excellent computer literacy and technical proficiency Experience with QuickBooks accounting software and data entry processes that ensure accuracy and efficiency Exceptional organizational skills with the ability to multitask effectively in a fast-paced environment Bilingual abilities are highly desirable to support diverse client needs and enhance communication within the team Excellent phone etiquette and communication skills for professional interaction via front desk or over the phone Proven office management experience with familiarity in handling administrative tasks such as calendar management, filing, and office supply coordination Strong time management skills to prioritize tasks effectively while maintaining high productivity levels This role is perfect for motivated individuals eager to grow their administrative career while making a meaningful impact within a vibrant organization.
