Full Job Description Job Purpose:
The Office Administrator must have basic office skills and display excellent customer service skills. You are the first contact the Customer has with the branch, thus leaving them with the first impression. An Office Administrator must display all attributes of professionalism, included but not limited to, neat, clean, professional business attire, pleasant & outgoing, reliable & punctual. Must be able to multitask and be courteous and helpful.Essential Duties and Responsibilities:
To perform this job successfully, the individual must be able to perform the following duties and responsibilities: Taking ownership of the customer Handle all incoming phone calls with a smile and enthusiastic manner Meet & greet customers promptly, pleasantly, and with a smile; take care of their needs including offering refreshments Open all incoming mail, date stamp, and distribute to appropriate parties Immediately open all incoming Courier/FedEx/UPS items, date stamp, and distribute to appropriate parties Handle outgoing mail - apply postage and take to mail drop if needed Take inventory and order office supplies Always keep lobby in a professional appearance Process daily banking Coordinate all appointments with staff, being prepared to acknowledge customers as they arrive Perform other related duties as assigned Morning duties include, but are not limited to: Turn off night line, retrieve all messages, and deliver to appropriate parties Ensure the front lobby is tidy and presentable Start coffee Check all office machines and ensure paper is loaded Evening duties include, but are not limited to: Turn on night line Make sure coffee pot is off Ensure all mail and FedEx/GSO packages are out to the appropriate mail receptaclesRequired Qualifications:
Has excellent organizational, time management, and follow-up skills Is dynamic, articulate, and well-spoken Passionate about service Enthusiastic with excellent people skills Independent, self-motivated, and decisive with a strong sense of urgency Extremely strong phone skills: Ability to connect with clients and set appointments over the phone Administrative experience required, ideally in real estate Positive, enthusiastic, motivated and solution oriented Excellent attention to detail and superior organization skills a must Can handle and prioritize a large volume of administrative tasks with ease, managing shifting responsibilities and balancing urgent needs with important long-term goals Proficient inMicrosoft Office Suite Applications Physical Demands & Work Environment:
The Office Administrator must be able to bend, stoop, stand, and sit for various lengths of time. They must be able to lift and carry items up to 20 lbs. A clear speaking voice is necessary along with finger dexterity. Must be able to sit and stand for long periods of time, bend, kneel, climb stairs, and walk.Working Conditions:
