The Office Administrator serves as a central point of coordination between Leadership, Operations, Finance, Sales, Marketing, customers, subcontractors, vendors, and outside service providers. This position is responsible for maintaining organized administrative systems, accurate records, effective communication, and consistent follow-through across the company. The ideal candidate is highly organized, detail-oriented, dependable, and comfortable managing multiple priorities. We are looking for someone who takes ownership of their responsibilities, anticipates administrative needs, communicates professionally, and looks for opportunities to improve processes as the company continues to grow. Duties Manage incoming phone calls, general email, mail, calendars, and front-office communications. Enter and maintain customer and lead information and schedule initial consultations. Manage subcontractor and vendor administrative compliance, including W-9s, Certificates of Insurance, agreements, and renewals. Coordinate administrative onboarding and offboarding of employees. Maintain company records, filing systems, forms, SOPs, checklists, and administrative tracking. Track company vehicles, electronics, software accounts, keys, GPS devices, and other company assets. Maintain business licenses, registrations, employee certifications, and renewal deadlines. Coordinate office supplies, company events, meetings, and general office organization. Administer designated HBA and CBUSA rebate processes. Maintain accurate administrative information within our CRM and other company systems. Follow up on outstanding administrative items and communicate issues before they become problems. Provide administrative support across departments while maintaining clear responsibility and accountability. Qualifications Strong organizational skills and attention to detail. Excellent written and verbal communication skills. Dependable with strong follow-through and time-management skills. Comfortable managing multiple responsibilities, deadlines, and priorities. Proficient with computers, email, spreadsheets, digital documents, and cloud-based systems. Experience with Google Workspace, including Gmail, Drive, Docs, Sheets, and Calendar, preferred. Ability and willingness to learn systems such as JobTread and other company software. Professional when communicating with customers, employees, subcontractors, vendors, and Leadership. Ability to maintain confidential information and exercise good judgment. Self-motivated, solutions-oriented, and comfortable working independently. Willingness to identify problems, improve processes, and take ownership rather than wait for reminders. Construction or related industry experience is helpful but not required.
