Job Description

Full Circle Orthopedics is hiring a hands-on Office Manager to lead the business and day-to-day operating side of our orthopedic practice in Clearwater and Palm Harbor. This is a visible, full-time role for someone who understands medical practice operations, knows how patient service and revenue cycle connect, and enjoys turning priorities into completed results. You will work directly with Dr. Robert Donnelly, a board-certified orthopedic surgeon with Mayo Clinic residency training. Your judgment and follow-through will influence patient experience, staff performance, practice finances, technology, and growth. Dr. Donnelly describes the practice's tone and culture as friendly, and Full Circle has built its reputation through patient satisfaction and patient recommendations. The position is 40+ hours per week. Salary is $60,000 to $70,000 per year, based on qualifications, experience, and demonstrated ability. Relevant continuing education and professional development may be financially supported.
ABOUT FULL CIRCLE ORTHOPEDICS
Full Circle Orthopedics is an established orthopedic practice serving patients at offices in Clearwater and Palm Harbor. The practice cares for a broad range of orthopedic conditions, injuries, fractures, surgery, and recovery needs. For approximately 25 years, the practice has relied heavily on satisfied patients recommending Full Circle to others. The Office Manager helps protect that patient-first standard while making the practice more organized, productive, and financially healthy.
WHY PEOPLE LIKE WORKING HERE
The tone and culture are friendly, and patient service is a real operating priority. You will have direct access to the physician owner and a meaningful voice in how the practice operates. Your work will be visible in better systems, stronger staff performance, improved patient service, and healthier growth. Dr. Donnelly supports approved training and professional development that can help you become more effective in the role.
WHAT YOU WILL OWN
This is a hands-on management position, not a purely advisory role. You will not be expected to perform every task personally. You will be expected to make sure important work has a clear owner, a workable system, a deadline, and a completed result. When a critical workflow needs attention, you should be comfortable understanding the details and helping the team move it forward. Lead day-to-day operations involving patient experience, front desk, scheduling, authorizations, referrals, and medical records. Recruit, interview, onboard, train, supervise, and support staff while establishing clear responsibilities, backup coverage, and accountability. Oversee the medical revenue cycle, including registration accuracy, claim flow, denials, accounts receivable, collections, patient balances, and billing-partner follow-through. Give Dr. Donnelly concise financial and operational information, including trends, risks, budgets, priorities, and recommended actions. Coordinate practice technology and vendors, including EHR or EMR systems, PACS, computers, phones, user access, and IT projects. Lead measurable recruiting, referral development, and marketing activity, while maintaining practical policies, checklists, and quality-control systems.
WHAT SUCCESS LOOKS LIKE
Patients receive responsive service, clear expectations, and dependable follow-through. Staff understand their roles and complete important work without repeated confusion or dropped handoffs. Revenue-cycle problems are visible and acted on promptly, and Dr. Donnelly receives the information needed to make sound decisions. The practice becomes better known for patient care, service, and expertise. Growth and profitability improve because the Office Manager converts priorities into consistent action and completed results.
WHAT WE ARE LOOKING FOR
Hands-on experience managing operations in a medical practice, healthcare organization, or closely related service business. Strong practical understanding of medical revenue cycle management and business finances, including accounts receivable, denials, collections, reports, budgets, and financial trends. Demonstrated ability to lead people, assign responsibility, train, follow up, correct problems, and carry work through completion. Strong organization, judgment, and direct communication, with the ability to work productively with a physician owner while knowing when to act and when to seek approval. Comfort with modern technology, including the ability to learn or manage EHR or EMR systems, Microsoft Excel, Google tools, Windows, and vendor-supported platforms. Ambition, enthusiasm, efficiency, and a genuine desire to improve the practice.
PREFERRED BACKGROUND
Two or more years of medical-practice management or comparable healthcare-operations experience. Five or more years is especially valuable. Orthopedic, surgical, spine, or other specialty-practice experience, including eClinicalWorks, PACS, imaging workflows, or IT vendors.
