Office Manager — Bilingual (Apostille, Fingerprinting & Notary Services) Apostille and Notary West Palm Beach, FL Job Details Full-time $20 - $24 an hour 1 day ago Qualifications Spanish Office activity coordination English Administrative experience Driver's License Bachelor's degree Certified Notary Public Clerical experience Full Job Description We're looking for a reliable, detail-oriented, and fully bilingual (English/Spanish) Office Manager to run the day-to-day operations of our West Palm Beach office. This is a hands-on role and you'll be the face of the office: answering calls, assisting scheduled clients, notarizing and preparing documents, coordinating shipments, and keeping the office running smoothly. If you're organized, professional, and comfortable working directly with customers and sensitive documents, we'd love to hear from you. Key Responsibilities Answer incoming calls and respond to client inquiries about apostille, notary, fingerprinting, and translation services Greet and assist scheduled clients, explaining document requirements and next steps Notarize documents in compliance with Florida notary law Review, prepare, and process documents for state and federal apostille/authentication Package and ship documents via FedEx and track shipments through to delivery Perform Live Scan fingerprinting for clients Manage daily office operations, appointment scheduling, and accurate recordkeeping Maintain a clean, organized, and professional office environment Run occasional local errands related to document processing and shipping Requirements Valid Florida driver's license Bachelor's degree Active Florida Notary Public commission Fully bilingual — fluent in English and Spanish (spoken and written) Ability to pass a background check Prior office, clerical, or administrative experience Preferred (Not Required) Experience with apostille/document authentication or legal document processing Live Scan / fingerprinting experience Notary Signing Agent (NSA) certification Familiarity with FedEx/shipping software and general office applications What We Offer Competitive salary ($20-$24/hour, based on experience) Consistent weekday schedule — no nights or Sundays Overview Apostille and Notary is a professional document-services office specializing in apostille and authentication, notary services, certified translations, and Live Scan fingerprinting for clients across South Florida and beyond.
