Job Description

Office Manager / Bookkeeper About the Role Southern Fenceworks is looking for an Office Manager/Bookkeeper to lead the day-to-day operations of our office, working closely with the GM and ownership on bookkeeping, HR, and administrative support. You'll keep track of where things stand across the business — outstanding invoices, upcoming reports, and the ongoing priorities that keep the office and field teams running smoothly. Most of your time will be spent on Southern Fenceworks' books, office administration, and HR, with the remainder split between one of our sister companies and, occasionally, other companies within the ownership group. This role is a good fit for someone who is highly organized, takes ownership of their responsibilities, and is comfortable identifying what needs attention without waiting to be asked. We're looking for someone who can keep the details organized, communicate proactively, and help make sure nothing falls through the cracks. What You'll Actually Do Office & Administrative
  • Manage daily office operations, including phone lines, email correspondence, and mail
  • Serve as the first point of contact for customers and vendors visiting or calling the office
  • Maintain organized digital and physical filing systems for contracts, permits, employee records, and customer records
  • Order office and jobsite supplies to maintain adequate inventory
  • Assist the GM and field manager with scheduling for estimates, installations, and crew assignments Bookkeeping & QuickBooks Online
  • Manage day-to-day bookkeeping in QuickBooks Online, including invoicing, accounts receivable, and bank reconciliations
  • Assist with accounts payable, including entering and coding vendor bills
  • Reconcile bank and credit card accounts and ensure transactions are properly categorized and supported by documentation
  • Monitor accounts receivable aging and proactively follow up on past-due invoices and outstanding customer balances
  • Track job costs and material expenses to support accurate job costing and reporting
  • Prepare recurring financial and operational reports for ownership, including cash position, accounts receivable, job costing, and company performance snapshots
  • Maintain accurate, up-to-date books throughout the year and serve as the primary point of contact for the company's outside accountant for tax preparation and year-end needs HR & Payroll
  • Process payroll and timekeeping for Southern Fenceworks
  • Own the onboarding process, including offer paperwork, certifications, and new-hire setup
  • Maintain employee records and track PTO and vacation requests
  • Maintain employee records, handbook updates, and required HR documentation, coordinating with outside HR or legal resources on compliance matters as needed
  • Address employee HR questions directly, escalating to outside HR or legal counsel when needed Supporting Our Other Companies
  • Provide bookkeeping, scheduling, and administrative support to one of our sister companies
  • Manage priorities across companies and communicate proactively regarding workload and deadlines Customer & Vendor Relations
  • Respond to customer questions about estimates, project status, and invoices
  • Coordinate with suppliers on material orders and deliveries
  • Assist in resolving scheduling conflicts and customer concerns in a timely, professional manner Qualifications
  • 3+ years of office management, administrative, or bookkeeping experience
  • Hands-on experience with QuickBooks Online, including invoicing, reconciliation, and reporting
  • Experience with basic HR and payroll administration
  • Strong organizational skills and the ability to manage priorities across more than one company
  • Excellent written and verbal communication
  • Proficient with Microsoft Office
  • Strong time-management skills, with the ability to independently manage and complete tasks as scheduled and assigned
  • Ability to take ownership of responsibilities, identify priorities, and follow tasks through to completion without constant supervision
  • A professional demeanor with customers, crews, and management alike
  • High level of professionalism, discretion, and confidentiality when handling financial and employee information Preferred Qualifications
  • Experience in construction, fencing, or a related trade
  • Familiarity with job costing or project management software
  • Notary certification Compensation & Benefits
  • $22.00 - $26.00 per hour, based on experience
