Office Manager A law firm located in Eagle is seeking an organized, proactive Office Manager to oversee the day-to-day administrative operations of our growing law firm. The most important qualification for this role is demonstrated experience integrating AI into business workflows to streamline processes, reduce repetitive work, improve consistency, and increase efficiency . We are looking for someone who is comfortable evaluating how work gets done, identifying bottlenecks, and using approved technology and AI tools to build better systems. This position will work closely with firm ownership and serve as a central resource for attorneys and staff. Key Responsibilities AI, Systems & Process Improvement Identify repetitive, inefficient, or manual workflows that can be improved through AI, automation, or better systems. Integrate approved AI tools into day-to-day firm operations in a practical and secure manner. Build and refine workflows, templates, checklists, automations, and internal processes. Help train attorneys and staff on approved AI tools and efficient technology use. Work with software vendors, IT providers, and firm leadership to improve system integration. Monitor whether new systems are actually saving time and improving accuracy. Staff & Office Management Oversee the day-to-day administrative operations of the firm. Provide direction, support, and accountability to administrative staff. Coordinate schedules, office coverage, PTO calendars, and attendance. Serve as the first point of contact for routine operational and staff questions. Help maintain a professional, positive, and productive workplace. Employee Onboarding Coordinate onboarding for new attorneys and staff after hiring decisions have been made. Prepare workspaces, equipment, software access, email accounts, and system permissions. Coordinate orientation and initial training. Ensure new employees receive firm policies, procedures, and training materials. Follow up during the onboarding period to ensure employees are successfully integrated into the firm. Policies & Procedures Maintain and improve firm policies and standard operating procedures. Develop internal forms, checklists, training materials, and workflow documentation. Help ensure consistent compliance with firm procedures. Assist ownership with implementing operational changes across the firm. Billing & Financial Administration Monitor timekeeping and billing processes. Assist with accounts receivable and collection follow-up as directed. Coordinate vendor invoices and recurring expenses. Work with outside bookkeeping, payroll, accounting, and IOLTA professionals. Assist ownership with operational and financial reporting. Facilities & Vendor Management Oversee office supplies, equipment, maintenance, and general office needs. Coordinate vendors, service providers, building management, and technology providers. Manage subscriptions, renewals, and recurring administrative services. Ensure phones, reception, mail, conference rooms, and common areas operate effectively. Firm Culture & Communication Help coordinate staff meetings, firm events, retreats, and training. Promote clear communication between attorneys, staff, and leadership. Help reinforce a collaborative, accountable, and service-oriented culture. Qualifications The ideal candidate will have experience in law firm administration, professional-services management, business operations, or a similar environment, with a strong track record of using AI and technology to improve workflows.

Attorneys and staff spend less time on repetitive administrative tasks, workflows are more consistent, technology is used effectively, and operational issues are handled before they reach firm ownership. This position does not have primary responsibility for recruiting or hiring employees. Firm ownership will retain responsibility for hiring decisions, while the Office Manager will take responsibility for onboarding and integrating new employees into the firm.
Pay:
$75,000.00 - $80,000.00 per year
