Administrative Office Manager Agricultural Seed Agency Position Overview We are seeking a highly organized, dependable, and detail-oriented Administrative Office Manager to oversee the day-to-day administrative operations of an agricultural seed agency. This position will play a key role in supporting sales, customers, seed suppliers, and internal staff while ensuring accurate records, efficient office operations, and excellent customer service. The ideal candidate will have strong organizational and communication skills, be comfortable working in a fast-paced agricultural environment, and have an interest in or understanding of the farming and seed industry. Key Responsibilities Manage daily office operations and administrative activities. Serve as a primary point of contact for customers, seed dealers, suppliers, and sales representatives. Answer phones, respond to emails, and direct customer inquiries appropriately. Process seed orders, sales orders, invoices, purchase orders, and related paperwork. Maintain accurate customer, inventory, sales, and product records. Assist with seed inventory tracking, ordering, receiving, and reconciliation. Coordinate deliveries and shipments with customers, suppliers, and trucking companies. Support sales staff with quotes, reports, customer information, product availability, and order status. Assist with accounts receivable, accounts payable, billing, and payment tracking. Maintain organized electronic and physical filing systems. Prepare reports, spreadsheets, and other documents as needed. Track seed varieties, lot numbers, treatments, quantities, and related documentation. Assist with seasonal activities, including planting-season and harvest-season customer support. Coordinate meetings, schedules, and office communications. Help ensure compliance with company policies and applicable agricultural, seed, and recordkeeping requirements. Handle confidential business and customer information professionally. Assist management with special projects and other administrative duties as needed. Qualifications Previous experience in office administration, office management, customer service, or a related field. Strong organizational and time-management skills. Excellent written and verbal communication skills. Strong attention to detail and accuracy. Proficiency with Microsoft Office, particularly Excel, Word, and Outlook. Ability to learn seed-industry software, inventory systems, and accounting programs. Ability to prioritize multiple tasks and meet deadlines. Professional and friendly customer-service approach. Ability to work independently while also supporting a team. Agricultural or seed-industry experience is preferred but not required. Preferred Experience Previous experience with an agricultural business, seed dealer, farm operation, grain company, or related industry. Familiarity with seed varieties, crop production, seed treatments, or agricultural products. Experience with inventory management, order processing, invoicing, or accounting. Experience working directly with farmers, agricultural retailers, or seed representatives. This person should be comfortable balancing administrative responsibilities with customer service and supporting the needs of a growing seed agency. Work Environment This is an office-based position within an agricultural business. The role may become particularly fast-paced during peak planting and selling seasons and requires flexibility, organization, and the ability to manage changing priorities.
