Job Description

Billing/Office Manager We are seeking a reliable, organized, and detail-oriented Office and Billing Manager to join our small law practice. This role is ideal for someone who enjoys working in a professional, client-focused environment and has experience managing client billing, administrative operations, and front office responsibilities.

The Office and Billing Manager will play a key role in supporting the daily operations of the firm, ensuring accurate billing, excellent client service, and efficient office coordination.

Responsibilities• Manage client billing processes, including preparing invoices, reviewing billing entries, processing payments, and following up on outstanding invoices• Maintain accurate client and matter billing records• Process payments and assist with account reconciliation• Communicate professionally with clients regarding billing questions and account matters• Coordinate front office operations, including incoming phone calls, scheduling clients and consultations, mail, paying bills and managing office expenses. • Welcome clients and provide a professional, courteous first point of contact• Maintain confidentiality of client information and firm records• Assist attorneys and staff with administrative tasks as needed• Support office organization and workflow improvementsQualifications• Prior experience in billing, bookkeeping, office management, or legal administration preferred• Experience in a law firm or professional services environment is a plus• Experience with Clio law firm practice management software is a plus • Strong attention to detail and organizational skills• Excellent written and verbal communication abilities• Ability to manage multiple priorities in a small office setting• Proficiency with Microsoft Office and billing/accounting software• Professional demeanor and commitment to client serviceWhat We Offer• A professional and collaborative small-firm environment• Competitive compensation based on experience• Opportunity to take ownership of an important role within the practice• Paid holidays, PTO, and retirement matching
