Job Description

Job Summary We are looking for an Assistant Front Office Manager to run the front desk at our Rockville clinic. You will be the first person our patients meet and the voice they hear on the phone — the face of

WORK, in English and in Spanish. You will coordinate all front desk activity: patient check-in, incoming calls, scheduling, insurance verification and copay collection, and the referral paperwork that keeps care moving. As the assistant to our Front Office Manager, you will also help train and support other front desk staff. Our ideal candidate pairs a warm, unhurried manner with real organizational discipline, and can keep a full waiting room feeling looked-after on a busy morning. Most of our patients are here because they were hurt at work. That means a steady flow of paperwork with insurance adjusters, case managers, referring physicians and attorneys. If you have not worked in workers' compensation before, that is fine — we will teach it. What we cannot teach is the temperament. This is a full-time, hourly position. Hours are Monday-Friday, 8:00am - 4:30pm. Responsibilities Warmly greet and check in 20-30 patients per shift, collecting insurance information and copays Answer a multi-line phone with 20+ calls per shift from patients, payors, referral sources and vendors Coordinate incoming referrals and insurance authorizations by phone, email and fax Manage patient charts and paperwork, on paper and electronically Keep the reception area welcoming, clean and organized Monitor and order office supplies; maintain office equipment Help train and support front desk staff, and cover for the Front Office Manager as needed Ensure company policies and patient privacy requirements are met Required Qualifications Fluent in both Spanish and English — spoken and written. You will switch between the two all day. Prior front desk, patient services or medical office experience Comfortable with a multi-line phone and a busy waiting room at the same time Solid working knowledge of Microsoft Office, particularly Excel and Word Comfortable with office equipment — printers, scanners, fax Strong organizational and multitasking skills; accurate data entry High school diploma or GED Preferred Qualifications Experience in physical therapy, orthopedics, or another outpatient specialty practice Prior workers' compensation, personal injury or auto-injury experience Experience with electronic medical records Prior experience training or supervising front desk staff Benefits Performance bonus potential Medical, dental and vision insurance 401(k) with company match Paid time off; closed all major holidays Opportunities for continuing education Company Summary
