Job Description

Trobec's Bus Service is seeking a friendly, organized, and dependable Front Office Manager to serve as the welcoming face of our office and support day-to-day operations. This role combines customer service and office administration, including answering phones, assisting visitors, supporting dispatch, invoicing, coordinating employee requests and events, and helping keep the office organized and running smoothly. The ideal candidate is personable, detail-oriented, takes initiative, and enjoys being part of a busy, team-focused environment. Responsibilities Greet customers, families, applicants, vendors, and visitors. Answer and route incoming calls and take accurate messages. Assist customers with general questions and direct concerns appropriately. Support dispatch through two-way radio communication with drivers. Prepare and process invoices and maintain accurate records. Track full-time employee time-off requests and route them for approval. Coordinate employee events, meetings, recognition activities, and celebrations. Order and maintain office and breakroom supplies. Receive and distribute mail and deliveries. Maintain a clean, organized, and welcoming front office and meeting spaces. Assist with additional administrative responsibilities as needed. Qualifications High school diploma or equivalent. 2+ years of customer service, reception, administrative, or office experience. Strong verbal and written communication skills. Comfortable using email, spreadsheets, word-processing programs, and web-based systems. Strong organization and attention to detail. Ability to handle confidential information appropriately. Ability to manage multiple priorities and frequent interruptions while remaining professional and friendly.
Preferred:
Experience with invoicing, billing, QuickBooks, dispatch, transportation, two-way radios, event coordination, or office management.
