We are looking for a part-time Office Manager to organize and coordinate administration duties and office procedures. Working hours and flexibility to be discussed. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. Office manager duties and responsibilities include scheduling meetings and appointments, making office supplies arrangements, greeting visitors and providing general administrative and HR support to our employees. Previous experience as a front office manager or Office administrator would be an advantage. Experience within the Construction industry would be an advantage. A successful candidate will have strong computer skills, specifically Microsoft Excel and Word, as well as some basic accounting knowledge. The Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation. The office manager will work very closely with upper management/ownership as well as front office staff on a daily basis. Responsibilities Perform an array of duties related to the commercial painting industry, including but not limited to project management, file management/organization and communication with customers and vendors. Coordinate with field employees to verify hours, assist with payroll Provide company wide human resource support Organize office operations and procedures Provide general support to visitors Assist in the onboarding process for new hires Liaise with facility management vendors, including cleaning, catering and security services Plan in-house or off-site activities, like parties, celebrations and conferences Skills Experience as an Office manager, Front office manager or Administrative assistant Experience in the construction industry will be an advantage Knowledge of office administrator responsibilities, systems and procedures Computer skills (MS Excel, Word and Outlook, in particular) Excellent time management skills and ability to multi-task and prioritize work Attention to detail and problem solving skills Excellent written and verbal communication skills A creative mind with an ability to suggest improvements High School or other advanced degree; additional qualification as an Administrative assistant or Secretary will be a plus
