This vital role combines office management responsibilities with comprehensive bookkeeping duties, ensuring smooth daily operations and accurate financial record-keeping. The ideal candidate will thrive in a fast-paced environment, demonstrate exceptional organizational skills, and possess a positive attitude that enhances office culture. Bilingual abilities and experience with various office systems are highly valued to support our diverse team and client base. Duties :
Maintain accurate financial records using QuickBooks or similar accounting software, including invoicing, expense tracking, and bank reconciliations Manage calendar scheduling, appointment setting, and coordinate meetings for staff and clients Perform data entry, filing, proofreading, and general clerical tasks to support administrative functions Provide exceptional customer service by responding promptly to inquiries via phone or email and supporting client needs Organize office supplies inventory, process purchase orders, and ensure the workspace remains efficient and welcoming Support personal assistant duties such as travel arrangements, document preparation, and other administrative support as needed Utilize Microsoft Office Suite and Google Workspace for document creation, spreadsheets, presentations, and communication Experience Proven experience in office management or administrative roles within a professional setting Demonstrated bookkeeping experience using QuickBooks or comparable software Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment Prior clerical experience including data entry, filing, proofreading, and calendar management Customer service background with strong phone etiquette skills and the ability to handle multi-line phone systems effectively Bilingual abilities are a plus to support diverse client interactions and team communication Experience as a dental or medical receptionist or personal assistant is advantageous but not required Join us in creating a vibrant office environment where your organizational talents shine!
