We are seeking a reliable, detail-oriented, and proactive Assistant Office Manager to support our daily clinical operations, streamline front-desk workflows, and foster a welcoming environment for our patients.
Key Responsibilities Operational Support:
Partner directly with the Office Manager to oversee daily clinic workflows, manage patient flow, and assist with staff scheduling and administrative assignments.
Patient Relations:
Serve as a primary point of contact for patient inquiries, managing check-ins, appointment scheduling, and patient onboarding with high empathy and professionalism.
Records & Compliance:
Maintain precise digital patient records, handle intake paperwork, and strictly enforce HIPAA guidelines and confidentiality regulations.
Issue Resolution:
Handle phone calls, resolve patient billing or scheduling concerns, and ensure a smooth front-office experience.
Weekend Coverage:
Work two Saturdays per month to support weekend clinic operations.
Qualifications & Skills Experience:
1+ years of experience in a medical or behavioral health office setting preferred.
Communication:
Exceptional phone etiquette, verbal communication, and strong interpersonal skills.
Organization:
Demonstrated ability to multitask, prioritize high-urgency tasks, and stay organized in a fast-paced environment.
Software:
Proficiency with Electronic Health Records (EHR) software, basic Microsoft Office/Google Workspace, and multi-line phone systems is a plus.
Reliability:
Strong work ethic, punctuality, and commitment to maintaining patient privacy.
