Job Description
About the Position Hope Healthcare Services is looking for a reliable and highly organized Front Office Manager to help coordinate the daily administrative operations of our Reno office. This is a hands-on position for someone who enjoys keeping an office organized, following up on details, solving day-to-day administrative problems, and making sure important tasks do not fall through the cracks. The Front Office Manager will work closely with company leadership and office staff while helping maintain employee and client records, coordinate office communication, track required documentation, and support several administrative processes throughout the organization. We are looking for someone who can take ownership of their work, stay organized when priorities change, and communicate professionally with employees, applicants, clients, families, vendors, and other professionals. What You'll Do
- Coordinate the day-to-day administrative flow of the office and help keep office priorities organized
- Answer and route incoming calls, messages, and general office correspondence
- Maintain organized electronic and paper records for employees, clients, and company operations
- Review files and documentation for completeness and follow up when information is missing
- Track employee documents, training records, certifications, and other required items
- Assist with preparation and organization of records for audits, licensing reviews, and internal compliance monitoring
- Support employee onboarding and other personnel-related administrative processes
- Assist with timesheet review, payroll preparation, and follow-up on missing or incomplete information
- Perform data entry and maintain information in spreadsheets, databases, and company systems
- Prepare letters, memos, forms, reports, and other business documents
- Assist with scheduling, meetings, appointments, and office coordination
- Communicate with employees regarding paperwork, deadlines, and administrative requirements
- Help leadership identify outstanding items and follow through until they are resolved
- Keep shared office files, forms, and administrative resources organized and current
- Provide administrative support for special projects and operational needs
- Protect confidential employee and client information
- Perform other administrative duties as needed What We're Looking For The strongest candidate for this position will be organized, dependable, comfortable working independently, and willing to take initiative. Required Qualifications
- High school diploma or GED
- Previous experience in an office, administrative, clerical, or similar professional role
- Strong computer skills, including Microsoft Word, Excel, Outlook, and general data entry
- Strong written and verbal communication skills
- Ability to organize multiple assignments and meet deadlines
- Strong attention to detail and ability to identify missing or incomplete information
- Ability to work independently while also collaborating with a team
- Professional communication and customer service skills
- Ability to handle confidential information appropriately
- Reliable attendance and follow-through
- Ability to pass required background screening
- Valid driver's license or state-issued identification Preferred Experience Experience in one or more of the following areas is helpful but not required:
