JOB DESCRIPTION

Office Administrator Schedule:
30 hours/week (9:00 am
•4:00 pm (lunch 12:00 pm
•1:00 pm) Monday through Friday)
Exemption Classification :
Non-exempt.
Primary Job Duties :
The Office Administrator must be the person who handles the day to day function of the law firm and CPA firm so that the paralegals, CPAs and attorneys can focus on providing services. They must be very organized, clean and observant. They must be motivated to get things right each time and to notice anything that needs attention, without being directed to do so.
Duties include:
Answering multi-line phone system. Schedule appointments and maintain and update appointment calendars. Greeting visitors in the reception area. Coordinate the daily functions of the firm. Adhere to strict confidentiality of records. Open, sort, and distribute incoming correspondence, including faxes, mail and email. Perform administrative support tasks, such as proofreading or transcribing of documents. Scanning and saving documents in an organized manner. Creation of and maintenance of files. Accurate document preparation. Input of all new and updated information into billing and time entry system. Perform general office duties, such as ordering supplies, maintaining records, retention, managing database systems, billing and performing basic bookkeeping work. Light office maintenance, such as, changing light bulbs and scheduling required maintenance/service. Minor IT/computer repair and support. Maintaining cleanliness of reception area, conference room and copy areas. Other tasks and duties as assigned.
Skill, Education, and Experience Requirements:
Must be computer literate, Microsoft Office, Outlook, PowerPoint, Word, Excel, Adobe and have experience in data input and maintenance of data. Organizational and multi-tasking skills for managing multiple projects simultaneously. Able to work effectively with others to meet deadlines. Must demonstrate excellent communication skills, written and verbal, as well as excellent customer service skills. Ability to grasp the broad overview of the firm and its services in order to best assist clients.
Physical Requirements:
The position requires lifting, bending and carrying; sitting for lengths up to 3.5 to 4 hours at a time. Must have eye-hand coordination and manual dexterity to allow for office and computer work, which includes working with telephones, facsimile, copy machines, scanners, computers, printers, and postage machines, as well as, normal hearing and eyesight to allow for personal interaction and transfer of information. Lifting can include objects up to 25 lbs, anything over that weight should be with the support of another person. The Office Administrator is generally the first contact that individuals have with our Firms. As such, the Office Administrator must be clean and professionally groomed and have a professional and pleasant demeanor in person and by phone at all times.

$21.00
