WE ARE LOOKING FOR
Full-Time Office Administrator (not a contractor) 100% in-office position in Rego Park, NY Previous office administration, receptionist, or administrative support experience Excellent verbal and written communication skills Strong organizational skills and attention to detail Ability to manage multiple calendars, appointments, and competing priorities Professional, friendly, and confident phone etiquette Proficiency in Microsoft Office and the ability to learn new software Experience in an accounting, tax, or professional services firm is a plus! RESPONSIBILITIES
Answer incoming phone calls, direct inquiries, and provide exceptional client service. Manage calendars, schedule appointments, and coordinate meetings for firm leadership and accountants. Greet clients and visitors and ensure a welcoming, professional office experience. Monitor incoming emails and direct client inquiries to the appropriate team members. Confirm client appointments and follow up on scheduling requests. Assist with collecting, organizing, scanning, and uploading client documents. Maintain accurate electronic and physical client files. Support the accounting team with administrative tasks, particularly during tax season. Manage incoming and outgoing mail and general office correspondence. Order office supplies and help maintain an organized, efficient workplace. Assist with data entry, document preparation, and other administrative projects as needed. Handle sensitive client information with the highest level of confidentiality. As our Office Administrator, you will play an essential role in keeping our firm organized and running smoothly. You will be the first point of contact for many of our clients, helping create a positive experience from their very first phone call through their ongoing relationship with our team. You'll work closely with firm leadership and our accounting professionals to manage scheduling, coordinate client communications, maintain records, and ensure important administrative tasks are completed accurately and on time. We are looking for someone who takes ownership of their responsibilities, anticipates the needs of the team, and genuinely enjoys helping people.
