Job Description
- Key Responsibilities
- Invoice & Financial Processing
- + Download and review invoices daily + Upload invoices to the appropriate Salesforce work orders + Enter invoices into Profit Master, ensuring correct Work Order assignment + Maintain accuracy and timeliness in all financial data entry
- Communication & Administrative Support
- + Review and respond to emails from the prior day, including company-wide and management updates + Return missed calls promptly + Manage incoming calls related to warranty, pre-construction, and payment/finance inquiries
- Project & Document Management
- + Process and close out project folders submitted by Project Managers + Scan and upload all documentation into Salesforce + Ensure folders are properly marked as complete, invoiced, and closed with consistent dates + Label folders as "Closed" and "Scanned" and file alphabetically + Return unused documents to appropriate storage
- Folder Creation & Task Coordination
- + Create new project folders based on assigned work + Use correct folder color coding per company standards + Gather and organize required documentation from internal teams + Accurately complete all folder details (client info, project type, PM, payment terms, etc.
- Office Operations & Support
- + Provide general support to team members as needed + Order and manage office supplies across multiple locations + Coordinate supply needs and handle special requests
- Office Maintenance
- + Maintain a clean and organized office environment through routine upkeep, including: + Cleaning common areas and kitchen spaces + Vacuuming and mopping floors + Cleaning glass surfaces and dusting workspaces + Refill water and maintain shared office resources
- Reporting & Data Management
- + Prepare monthly Appointment and Sales reports using Excel + Review prior reports to ensure consistency and accuracy + Submit reports to "Full Throttle" within the first week of each month + Ensure all reporting data is complete and accurate
- Qualifications
- + Experience with QuickBooks Online required + Strong organizational and multitasking abilities + High attention to detail, particularly with financial data + Proficiency in Microsoft Excel, Google Workspace, and standard office software + Experience with CRM systems (e.
