Job Description
We are seeking a dependable, organized, and proactive Office Administrator to support the day-to-day operations of our office. This position plays an important role in keeping communication, scheduling, deliveries, purchasing, and administrative activities running smoothly across multiple departments. The ideal candidate is self-motivated, trustworthy, and able to prioritize multiple responsibilities with minimal supervision. Strong communication and organizational skills are essential, as this role will work closely with dispatch, warehouse operations, service coordinators, drivers, vendors, and other team members. Responsibilities Provide backup support for Dispatch between 7:00 AM and 4:00 PM, including assisting with incoming calls and coordinating service needs as necessary. Support the Warehouse Manager with scheduling, driver coordination, delivery schedules, and schedule updates. Manage incoming phone calls, emails, correspondence, packages, and other general office communications. Receive and document deliveries and assist with processing and updating vendor invoices. Create and maintain purchase orders for corporate and office purchases. Coordinate preventive maintenance schedules with Service Coordinators. Assist with general administrative needs across departments as necessary. Coordinate daily office activities and operations to promote efficiency and compliance with company policies and procedures. Maintain accurate records and ensure administrative information is organized and up to date. Provide general support to employees, management, vendors, and visitors as needed. Qualifications Previous experience as an Office Administrator, Administrative Assistant, Office Assistant, or similar role preferred. Strong communication and interpersonal skills. Excellent organizational, time-management, and multitasking abilities. Ability to prioritize responsibilities and work independently with minimal supervision. Comfortable working in a fast-paced environment and adjusting priorities as operational needs change. Familiarity with general office procedures, purchasing, invoicing, and basic accounting principles. Proficiency with Microsoft Office, including Outlook, Word, and Excel; experience with ERP or other office management software is a plus. High school diploma or equivalent required; associate or bachelor's degree in business, office administration, or a related field is a plus.
