Receptionist / Front Desk Administrative AssistantJob Description This role serves as the primary point of contact for customers and visitors, managing the front desk, phone system, and a range of administrative tasks. The position combines customer service, data entry, and office coordination to ensure a smooth, professional, and welcoming experience for all callers and walk-in customers while supporting internal teams with accurate information and transactional support. Responsibilities Serve as the primary point of contact for incoming phone calls, answering promptly, routing calls accurately, and managing approximately 20-25 calls per day, with flexibility to handle higher volumes during busy periods. Greet walk-in customers and visitors in a professional, friendly, and helpful manner, typically interacting with around 20 in-person visitors per week. Provide basic pricing information and general business information to customers as appropriate, ensuring clear and accurate communication. Maintain a clean, organized, and professional front desk and reception area to create a welcoming environment for customers and colleagues. Coordinate incoming and outgoing mail, packages, and deliveries, ensuring timely and accurate handling. Monitor and restock front-office and common-area supplies as needed to support daily operations. Support walk-in business by processing credit card transactions accurately, securely, and in accordance with established procedures. Perform routine data entry tasks with a high level of accuracy and attention to detail, including customer, pricing, and transaction information. Log and track incoming checks and payments according to established procedures, maintaining accurate records. Enter customer, pricing, and transaction details into internal systems, ensuring information is complete and up to date. Maintain organized digital and physical records related to payments, mail, and front-office activity for easy retrieval and audit readiness. Assist with basic reporting or tracking logs as required, supporting internal stakeholders with timely information. Review data entries for completeness and correctness to ensure data integrity and reduce errors. Support additional administrative tasks as assigned to help maintain smooth daily operations and assist the sales team with orders, data entry, and payments. Interact regularly with inside sales representatives, helping manage customer expectations when sales staff are unavailable and providing consistent, courteous customer service. Handle customer inquiries, such as callers seeking to connect with specific contacts, by providing support, gathering information, and ensuring follow-up as needed. Essential Skills Previous experience in a receptionist, front desk, administrative, or customer service role. Strong verbal and written communication skills, with the ability to interact professionally with callers, visitors, and internal teams. Proficiency with the Microsoft Office suite, including Word, Excel, and Outlook. Comfort using phone systems to handle incoming calls, route inquiries, and manage call volume effectively. Comfort handling customer inquiries and transactional tasks, including basic pricing and payment-related questions. Proven ability to perform accurate data entry with strong attention to detail.
