This position is responsible for managing administrative workflows, maintaining accurate financial and operational records, coordinating schedules, supporting project setup, and ensuring regulatory and licensing compliance. The role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced construction environment. Key Responsibilities Financial & Accounting Support Maintain check registers and check logs for all bank accounts Enter, track, and reconcile checks and bank transactions in QuickBooks Connect and manage bank feeds within QuickBooks Collect, organize, and retain receipts (email and physical), ensuring proper documentation Scan and archive completed check logs and financial documents to the company server Maintain accurate vendor records, including W-9 forms and contact details Assist with preparation of monthly Profit & Loss statements Support accounts receivable, including collection of client monthly payments Payroll & HR Administration Process bi-weekly payroll accurately and on time Maintain employee payroll records and hours tracking Coordinate payroll-related documentation and reporting Support compliance with labor and payroll regulations Project & Job Management Support Create and set up new projects/jobs in company systems Perform project-based data entry, including job details, costs, and supporting documentation Track permits, inspections, and job status updates Coordinate permit applications and schedule inspections with municipalities Maintain organized project files for active and completed jobs Scheduling & Operations Coordination Update and maintain daily schedules for field crews Prepare and manage weekly work schedules Communicate schedule updates to management and field staff Assist with operational planning and workload coordination Vehicle, Equipment & Asset Management Maintain vehicle register, including titles, registrations, inspections, and insurance Track and log truck maintenance, inspections, and service records Ensure all company vehicles are compliant with state and local requirements Maintain a fixed asset register for company-owned assets Register and track tools and equipment, including Milwaukee Tools Maintain a tools register, tracking assignments, condition, and replacements Licensing, Permits & Compliance Maintain a business licensing register (state, local, and specialty licenses) Track license renewals and ensure timely compliance Ensure all required contractor, roofing, and trade licenses remain active Monitor insurance certificates and compliance requirements Office & Administrative Duties Manage incoming emails related to receipts, vendors, and operations Organize and maintain both digital and physical records Pause or manage marketing leads as directed by management Provide general administrative support to ownership and management Assist with internal reporting and documentation requests Qualifications & Skills Experience in construction, roofing, or general contracting administration preferred Strong working knowledge of QuickBooks Familiarity with payroll processing and vendor management High attention to detail and strong organizational skills Ability to manage multiple deadlines and priorities Comfortable handling confidential financial and payroll information Proficiency with Microsoft Office (Excel, Word, Outlook) Strong communication and follow-up skills Work Environment Office-based with frequent coordination with field crews and management Fast-paced environment requiring flexibility and accountability High level of responsibility and trust
