Job Description
Job Summary We are seeking a self-motivated Office Manager to run day-to-day office operations, financial administration, and sales support. This role involves regular collaboration and coordination with other team members, vendors, and customers. This is a part-time, in-person, hourly position (approximately 10-20 hours per week). Responsibilities Front Desk & Communication Serve as the first point of contact for incoming phone calls Monitor and triage the owner's email inbox Sales Support Prepare and send customer quotes and invoices Maintain customer/CRM database records Bookkeeping & Financial Administration Pay bills Maintain and reconcile company books Run payroll Handle sensitive financial information with discretion and care Compliance & Office Operations Maintain certificates of insurance, safety compliance records, license renewals, and vendor W-9s Maintain HR-adjacent paperwork: employee files, time-off tracking, and onboarding documentation Run local errands (bank deposits, supply pickup, post office, etc.) Logistics Coordination Inventory Management & Purchasing E-Commerce Order Fulfillment What We're Looking For Reliable and professional Strong organizational skills and attention to detail Excellent oral and written communication skills — comfortable answering phones and interacting professionally with callers and clients Self-motivated — takes initiative and follows through without needing regular check-ins or reminders Trustworthy and comfortable handling confidential financial information Prior experience in a customer-facing role and/or bookkeeping preferred
