Based onExperience Office Manager:
The Office Manager is responsible for overseeing the daily administrative and operational functions of Atlantis Behavioral Health Services (ABHS) to ensure efficient, organized, and professional office operations. The Office Manager provides operational support across departments, assists with workflow coordination, supervises administrative processes, and supports leadership with office management initiatives. This position plays a key role in maintaining productivity, communication, staff coordination, compliance with organizational procedures, and overall office efficiency. The Office Manager will collaborate closely with leadership, clinical staff, intake, billing, and administrative departments to support the organization's operational goals and patient service standards.Job Specifics:
- Oversees daily office operations to ensure efficiency, organization, and continuity of services.
- Assists with the coordination and implementation of office workflows, procedures, and operational processes.
- Supports intake, front office, scheduling, administrative, and billing-related operations as needed.
- Monitors office productivity and assists leadership in identifying operational improvement opportunities.
- Assists with developing and implementing office policies, procedures, and workflow standards.
- Provides administrative support to leadership and departmental managers.
- Coordinates staff communication regarding operational updates, scheduling changes, meetings, and office initiatives.
- Assists with onboarding and training administrative staff on office procedures and workflows.
- Maintains office records, reports, spreadsheets, and operational documentation.
- Coordinates with IT vendors and internal staff regarding office equipment, software, and operational systems.
- Assists in ensuring compliance with organizational policies and applicable Federal, State, HIPAA, payer, and regulatory requirements.
- Supports the meaningful use and day-to-day functionality of EHR and other office management systems.
- Assists with preparation of operational reports, productivity tracking, and departmental follow-up items.
- Maintains professional and collaborative relationships with providers, staff, patients, vendors, and leadership.
- Participates in meetings, trainings, workshops, and continuing education activities as needed.
- Performs other duties and special projects assigned.
- Coordinates with the Billing Department to help ensure clean claim submission processes by verifying that prior authorization requirements are identified at the time of scheduling and appropriately communicated for processing.
Educational Requirements:
Required:
High School Diploma or GED.Preferred:
Associate's Degree or Bachelor's Degree in Business Administration, Healthcare Administration, Management, or related field. Behavioral health or healthcare administrative experience.Experience Required:
Minimum of 2-3 years of office administration or healthcare office experience. Experience with scheduling, office coordination, administrative operations, or customer service.Preferred:
Prior supervisory or management experience. Experience in behavioral health, medical office, or healthcare operations.SPECIAL SKILLS & ABILITIES

Strong organizational, multitasking, and time management skills. Excellent communication and interpersonal skills. Ability to maintain professionalism and confidentiality in a healthcare environment. Strong problem-solving and critical-thinking abilities. Ability to work independently and collaboratively within a team environment. Strong computer proficiency including Microsoft Office applications (Excel, Word, Outlook, PowerPoint), email platforms, scheduling systems, and internet applications. Ability to adapt to changing operational needs and priorities. Knowledge of general office procedures and administrative workflows.Preferred:
Familiarity with Electronic Health Record (EHR) systems and healthcare office operations. Basic understanding of healthcare billing, insurance verification, or revenue cycle processes.Job Type:
