Job Description

Overview We are seeking a reliable and organized Office Manager to oversee daily administrative operations in a fast-paced construction office. The ideal candidate will support project managers and field staff while managing office functions, construction documentation, and job cost tracking. Experience in the construction industry and job costing is strongly preferred. Responsibilities Manage daily office operations and front desk activities Answer and direct phone calls with professional phone etiquette Maintain organized physical and digital filing systems Perform accurate data entry and document management Assist with job costing and tracking project expenses Support bookkeeping tasks using QuickBooks (preferred but not required) Prepare and track lien waivers, subcontractor documents, and payment paperwork Maintain subcontractor compliance records , including licenses and Certificates of Insurance (COIs) Assist with AIA billing and progress payment applications when applicable Maintain project documentation including contracts, change orders, and permits Coordinate communication between project managers, subcontractors, vendors, and clients Qualifications Previous office management or administrative experience required Construction office experience strongly preferred Familiarity with job costing, construction accounting, AIA billing, lien waivers, and subcontractor compliance is a plus Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace Experience with QuickBooks or similar accounting software is a plus Strong organizational, multitasking, and communication skills High attention to detail and strong data entry skills Education High school diploma or GED required Associate degree in Business Administration, Accounting, Construction Management, or related field preferred
