is seeking a Full-Time Office Manager to join our Bellevue and Issaquah Clinics. The Office Manager is responsible for the management and administrative operation of the Clinic in which patient care is directly and/or indirectly provided. Responsibilities Implement and monitor compliance to patient care and professional standards established by Washington Gastroenterology (WAGI) Policies and Procedures Evaluate the nursing care delivery system utilizing a variety of techniques such as patient satisfaction survey letters, post procedure phone calls, quality improvement studies, medical record, and documentation review Build a positive culture through active communication with staff including team meetings, communication of Center and WAGI news, promoting the sharing of ideas and building a culture of respect and collaboration. Determine necessary staffing levels for the Clinic and schedule appropriate staffing assignments to support the flow of patients delegating specific job functions to qualified staff members and doing so within budget Collaborate with other WAGI Endoscopy Centers and Clinics to find synergies, identify best practices, participate in the development and review of policies and procedures, and improve the patient experience and efficiency in daily operational flow Actively support and participate in the development of safety practices and policies and ensure compliance and implementation of safe practices within the Clinic Maintain and increase knowledge in gastroenterology and current trends therein as well as engaging in educational opportunities to grow skills as a manager and in clinical care Actively interview and select qualified candidates in alignment to WAGI values and ensure proper onboarding and new hire training to ensure patient safety and adherence to Center policies and procedures Develop staff by conducting regular performance reviews including the evaluation and documentation of staff competencies and identification of training needs as well as identifying performance concerns and violations of policy or procedure and addressing through coaching and discipline in consultation with Human Resources Provide leadership and the resource for other staff members, facilitating professional development and training, one-on-one mentoring and teaching as needed Investigate and follow through on patient complaints and unusual occurrences Assist in the development of the Clinic's budget and assume responsibility to actively work within the established budget, advising when costs are higher than anticipated and the reasons why, implementing cost control measures to improve performance to budget Fulfill responsibilities to the organization by adhering to its goals and objectives, policies, and procedures Responsible for maintaining the Clinic's professional appearance and functionality, ensuring good housekeeping and proper sanitation. Take appropriate immediate action to resolve unsafe acts or conditions Facilitate the evaluation of any equipment repairs and identify needs for additional or replacement equipment to improve patient safety and efficiency Other duties as assigned Qualifications High School Diploma or equivalent is required Additional education such as an Associates Degree or Bachelors Degree in a related field such as Healthcare Management, a healthcare field (nursing, medical assistant, etc.) or business is preferred Minimum 2 years experience in a medical office is required 2 years previous leadership experience is required Skills and Abilities Ability to work independently with minimal supervision Excellent verbal and written communication skills Proven leadership skills Ability to actively collaborate with all levels of the organization Ability to problem-solve Strong organizational and analytical skills Ability to prioritize tasks and to delegate them when appropriate Ability to multitask in a fast-paced environment Ability to perform data entry into an electronic medical record Physical Activities and Requirements Occasional local travel to and from Federal Way and Covington and other locations may be required Prolonged periods of standing and walking Ability to perform administrative tasks at a computer for extend periods Ability to lift, push and pull items weighing 50 pounds or less Ability to bend, twist, stoop, and reach Washington Gastroenterology has an excellent compensation and benefit package that includes the following: Employees (and their families) who work full time (defined as working 30 or more hours per week) will be eligible for medical, dental, vision, long-term disability, accidental death and dismemberment, and basic life insurance . In addition employees are able to enroll in our company's 401(k) plan which includes a company provided safe harbor contribution of 3% of annual earnings and the potential for a company discretionary profit sharing contribution. All employees will be eligible to accrue PTO at a rate of .04 hours per payroll hour (1.6 hours for a 40 hour week) which can be used for and exceeds the required mandatory WA State and other local ordinances. In addition, full time employees will be eligible for a Vacation accrual with a maximum annual accrual of 77 hours as a new hire. WAGI has 8 standard Holidays each year for which full time employees are eligible to receive paid holiday. In addition, full time employees will be given 1 Float Holiday each year that they can schedule. This is a Salary position and the anticipated Compensation range $90,000 - $140,000. The hired applicant is also eligible for annual discretionary bonuses.
