This vital role ensures the smooth operation of daily office functions, supports team members, manages administrative tasks, and maintains an efficient work environment. The ideal candidate will bring energy, excellent communication skills, and a proactive attitude to keep our office running seamlessly. Your leadership in office management, Accounts payable, accounts receivable, booking and scheduling, and team coordination will help foster a productive and positive workplace atmosphere. Duties Oversee daily office operations, including front desk management and multi-line phone systems to ensure professional communication. Manage calendar scheduling, appointment setting, and coordinate meetings or events to maximize team productivity. Supervise administrative staff and provide training & development opportunities to enhance team performance. Maintain accurate , payroll processing, accounts payable, and accounts receivable using QuickBooks or similar accounting software. Support human resources functions such as onboarding new employees, managing employee records, and assisting with HR policies. Organize filing systems, manage document retention, and ensure compliance with confidentiality standards. Ensure excellent communication through phone etiquette and professional interaction with clients, visitors, and staff. Qualifications Proven experience in office administration or office management roles with strong clerical skills. Supervising experience with the ability to lead teams effectively. Strong organizational skills with the ability to manage schedules and coordinate multiple tasks efficiently. Experience in event planning and vendor management to support company initiatives. Knowledge of human resources practices including onboarding, training & development. Familiarity with medical office procedures is a plus but not required. Excellent communication skills coupled with professional phone etiquette. Ability to handle multitasking in a fast-paced environment while maintaining attention to detail.
