We are seeking a part-time (30 hours per week), highly organized and detail-oriented Administrative Assistant to support our commercial property management team. The ideal candidate is a proactive problem-solver who thrives in a fast-paced environment, is comfortable working independently when needed, and values being part of a close-knit, Texas based and small company culture. This position requires reliability, professionalism, and the ability to handle multiple responsibilities efficiently.
Key Responsibilities:
Answer and direct incoming calls, greet visitors, and handle general inquiries. Assist with preparation of correspondence and property reports. Track all Certificates of Insurance for Tenants and Vendors. Maintain digital and physical filing systems, including leases, insurance certificates, and vendor contracts. Track and follow up on tenant maintenance requests and coordinate with vendors for timely resolution. Prepare and process work orders and invoices for approval. Maintain property management databases and ensure accurate tenant and vendor information. Assist in scheduling inspections, maintenance, and other property-related services. Support property management with budgeting and reporting activities as needed. Ensure timely collection and tracking of tenant insurance certificates and vendor compliance documents. Assist with coordination of tenant move-in/move-out logistics and welcome packages. Provide administrative support for special projects and property-related events.
Qualifications:
Proven experience as an administrative assistant, preferably in a property management or real estate environment. Strong organizational and multitasking skills with excellent attention to detail. Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); knowledge of property management software (e.g., Yardi, MRI, AppFolio) is a plus. Excellent written and verbal communication skills. Ability to work independently and occasionally alone in the office. Strong problem-solving skills and the ability to take initiative when challenges arise. Must have reliable transportation for occasional errands or site visits. Comfortable working in a small team environment with a collaborative and adaptable mindset.
