Job Overview The Intake/Admin Assistant plays a crucial role in providing exceptional support to our team and clients. This position involves managing the initial stages of client interaction, ensuring that all necessary information is collected accurately and efficiently. The ideal candidate will possess strong organizational skills and a customer-focused mindset, contributing to a positive experience for all clients. Duties
  • Verifying health insurance
  • Provide clerical support to agency management and supervisory personnel
  • Prepares correspondence, reports, documents, and medical Plans of Care
  • Schedules appointments for management staff and schedules meeting room
  • Prepares updates to policies and procedures as directed
  • Prepare statistical reports as needed
  • Making appointments and scheduling patient visits
  • Answering questions related to services and making referrals when necessary
  • Monitors supply needs and assures availability of supplies needed
  • Prepares client charge slips as directed and forward them to billing department
  • Maintains comprehensive working knowledge of state, federal, and accrediting body documentation regulations and serves as a resource for appropriate organization personnel.
  • Completes an administrative record audit following patient discharge and forwards the record to the Clinical Supervisor for clinical audit.
  • Answer inbound telephone calls
  • Develop and implement organized filing systems
  • Providing administrative support, including handling requests, organizing appointments, and maintaining filing systems
  • Maintains confidentiality in all aspects of the job
  • Attends Clinical staff meetings as needed to communicate information needs as they relate to physician orders and other timely written reports
  • Contacts clients, referral sources, families, and other disciplines as directed to assure care coordination
  • Assists with filing documentation in the clinical record. Reports missing or incomplete charting.
  • Participates and communicates with other departments to ensure that tasks are accomplished

Skills High School graduate; college degree preferred Minimum of two (2) years experience in a business setting, health care preferred Information systems knowledge required. Knowledge of medical terminology preferred Demonstrates good written and verbal communication skills Strong attention to detail and organizational skills Demonstrates ability to type at least words per minute and familiarity with basic computer programs Spanish speaking Join our team as an Intake/Admin Assistant, where your contributions will make a significant impact on our clients' experiences.
