Full Job Description Job Description:
The office assistant is responsible for supporting the human resources and administrative functions of the organization. This role involves managing day-to-day HR operations, ensuring efficient office administration, and providing support to both employees and management. The ideal candidate will be organized, detail-oriented, and capable of handling a variety of tasks to ensure the smooth running of the office and effective HR management.
Key Responsibilities:
Human Resources Support:
Assist in the recruitment process by posting job ads, screening resumes, scheduling interviews, and coordinating with candidates. Maintain employee records and ensure that all HR documents are accurate and up-to-date. Assist with the onboarding process for new hires, including orientation and training sessions. Support employee relations activities by addressing employee inquiries, resolving issues, and maintaining a positive work environment. Assist with the implementation of HR policies, procedures, and programs.
Payroll and Benefits Administration:
Process payroll accurately and on time, including maintaining payroll records and handling any discrepancies. Administer employee benefits programs, including health insurance, retirement plans, and other employee benefits. Handle employee leave requests, attendance tracking, and other timekeeping responsibilities.
Office Administration:
Manage office supplies and inventory, ensuring that the office is well-stocked and organized. Oversee the maintenance of office equipment and facilities, coordinating repairs and service as needed. Handle incoming and outgoing communications, including phone calls, emails, and mail. Organize and schedule meetings, appointments, and events, ensuring that all logistics are managed effectively.
Documentation and Reporting:
Prepare and maintain accurate reports, records, and documentation related to HR and administrative activities. Ensure compliance with labor laws and company policies, maintaining confidentiality of sensitive information. Assist in the preparation of HR and administrative reports for management review. Provide administrative support to senior management, including preparing documents, presentations, and correspondence. Assist in planning and organizing company events, meetings, and activities. Coordinate travel arrangements and accommodations for staff and visitors.
Continuous Improvement:
Identify opportunities for improving HR and administrative processes and implement solutions to increase efficiency. Stay updated on HR and administrative best practices, labor laws, and industry trends to ensure the organization remains compliant and competitive.
Qualifications:
Bachelor's degree in Human Resources, Business Administration, or a related field. Proven experience in HR and administrative roles. Strong organizational and time management skills. Excellent communication and interpersonal abilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and HRIS systems. Knowledge of HR practices, labor laws, and payroll processing. Ability to handle sensitive information with confidentiality.
